Job Summary: We are seeking a full-time Director of First Impressions who can provide concierge level administrative service to our advisors, clients, and prospects. The ideal candidate will be detail oriented, ethical, passionate about clients, and dedicated to exceeding performance standards. Responsibilities include but not limited to: Provides office support including answering telephones, assisting visitors and resolving and/or referring problems or inquiries. Coordinates and performs a range of operational support activities (shipping, mail, etc.). Schedules and coordinates client meetings and appointments, update scheduling spreadsheet. Handles all client deposits to RJ accounts so they are credited the same day if at all possible. Prepares or assists in preparing reports by performing basic information gathering and analysis as directed. EG: Updates on Client Meeting Schedule Status, Forecasted Sale Report, New Assets Report Establishes, maintains and updates files, databases, records and/or other documents, scans and stores client files in the proper locations. Sends pre and post meeting correspondence Open, log and process incoming mail and correspondence. Mail/UPS/FED EX open & process Maintain CRM (Goldmine) client and prospect records with current information, to include links, additional contacts, and personal information. Opening office- sweep front entry way, open blinds, setting voicemails up for holiday office closure Prospect special touches for in office meetings- cookies, coffee, etc, Ensuring signage for in office meetings Calling to set up COI lunches- for professional partners Scanning documents (trust documents, death certs, marriage certs, DL- help loading to vault for client) (Naming and loading) Learning and displaying Fleishel Financial Core Values to every face/ voice Birthday/Holiday/Sympathy/Get-Well cards and e-Cards Order & maintain branch and office supplies Operates standard office equipment and uses required software applications. Regular and timely attendance is required. Inspect and maintain lobby, front entrance and conference room. Performs other duties and responsibilities as assigned. Qualifications and Skills MS Excel, Word, Outlook and Power Point proficiency to produce professional documents. Working knowledge of client relationship management software (especially Goldmine) a plus. Performs under the general guidance of branch management. Uphold a professional image with external and internal business contacts. Work ethically and with integrity, including maintaining client and firm confidentiality.
