The Cooperative Institute for Marine and Atmospheric Studies has an exciting opportunity for a full-time Administrative Assistant to work in Miami, FL. The Administrative Assistant performs a variety of clerical functions and office support activities to facilitate the efficient operations of the office. Answers telephones, takes messages, answers routine questions, and transfers calls to appropriate individuals Greets visitors and callers, handles their inquiries, and directs them to the appropriate persons according to their needs Prepares and submits Workday expense reports Prepares and submits purchase orders Prepares and submits new temporary employees and students hire paperwork Collect, sort and distribute mail and correspondence Order and upkeep of the CIMAS storage room Assists with travel arrangements as needed Assists with special projects and events on an ad hoc basis as assigned Perform daily functions in office operations as required Performs other duties as required Knowledge, Skills, and Abilities: Knowledge of routine office practices and procedures. Knowledge of simple data processing and transmission principles. Ability to utilize computerized information systems. Ability to read and decipher data on source documents to be entered. Ability to enter and verify information with accuracy and a reasonable rate of speed. Ability to understand and follow oral and written instructions. Skill in data entry or typing Knowledge of MS suite (Word, Excel, PowerPoint) Education Requirements (Essential Requirements): High school diploma or equivalent.
