Overview
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks, providing exceptional customer support, and maintaining an efficient front desk environment. This position requires strong communication skills and the ability to multitask effectively in a fast-paced setting.
Duties
- Manage daily office operations, including scheduling appointments and coordinating meetings.
- Provide clerical support such as filing, data entry, and document preparation.
- Serve as the first point of contact for clients and visitors, ensuring a welcoming atmosphere at the front desk.
- Assist with customer service inquiries and resolve issues promptly to maintain high levels of satisfaction.
- Maintain office supplies inventory and place orders as necessary to ensure uninterrupted operations.
- Collaborate with team members to improve office processes and enhance overall efficiency.
- Keep all office, breakroom, and bathroom supplies stocked (includes the management of inventory and responsibility of ordering and purchasing supplies as needed).
For all services we provide (Teen Drivers Ed programs, driving lessons, written exams, and driving exams):
- Prepare paperwork for students and instructors in preparation for services to be delivered
- Record customer data and results in both state data base and internal systems upon completion of services delivered
- Assist with managing instructor schedules and client booking requests to ensure we maximize our utilization of our resources.
- Maintain organized office documentation and records to support efficient onboarding of new staff, convenient support for all clients, and to ensure ease of access to all relevant materials for auditors.
- Ensure schedules are accurate for processing payroll.
Skills
- Proven experience in administrative roles with strong organizational skills.
- Excellent customer service abilities, demonstrating patience and professionalism in all interactions.
- Proficiency in clerical tasks, including data entry and document management.
- Familiarity with office administrator practices and procedures.
- Strong proofreading skills to ensure accuracy in all written communications.
- Ability to handle multiple tasks simultaneously while maintaining attention to detail.
- Excellent time management skills with track record of taking on new tasks independently.
We will provide training for all of these responsibilities during your initial training period. Ideal candidate availability is Friday through Monday (Weekends) for this position.
