What are the responsibilities and job description for the Office Assistant/File Clerk position at Absentee Shawnee Housing Authority?
Summary of Position:
Provides basic filing and clerical support to all housing authority personnel to ensure they have the most accurate and up to date documentation in files. The responsibility of the file clerk is to receive completed records, scan for electronic filing, and store them in the appropriate filing system. This position works independently with some lifting when storing boxes for archive records.
DUTIES AND RESPONSIBILITIES:
- Maintains and files paperwork in the appropriate filing system in place.
- Improve the accuracy of the filing system
- Retrieve paperwork when it is requested
- Assist departments to input paperwork into electronic databases
- Perform regular quality inspections on the file system
- Keep logs of files and records checked out by staff
- Ensure that sensitive information is safeguarded
- Reduce paperwork by disposing non-permanent records periodically or in bulk shred service when needed
- Assist in organizing and maintaining office supply and cleaning supply rooms.
- Makes daily post office and bank deposit drops, at the request of supervisor
- Primary receptionist relief answering phones and greeting visitors in his/her absence.
- Other duties assigned by supervisor.

- Proficiency in Microsoft Office
- Knowledge of NAHASDA Regulations

MINIMUM EXPERIENCE AND TRAINING:
- Minimum high school diploma or general education degree (GED)
- Two years related experience and training or equivalent combination of education and experience
- General knowledge of HUD and Indian Housing Programs
- Oklahoma Driver's license
- Above average typing skills.
Job Type: Part-time
Pay: $14.00 - $17.00 per hour
Expected hours: 25 per week
