Responsibilities
- Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.
- Operate multi-line phone systems, handle incoming calls, and relay messages promptly.
- Perform data entry tasks using Microsoft Office, Google Workspace, and other computer skills to maintain accurate records.
- Organize files, update databases, and ensure proper filing systems are maintained for easy retrieval of documents.
- Support calendar management by scheduling appointments, meetings, and coordinating event logistics.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support basic financial recordkeeping.
- Provide excellent customer service by responding to inquiries via phone or email and supporting client needs efficiently.
- Conduct proofreading of documents to ensure accuracy and professionalism in all communications.
- Support office management activities including supply inventory, equipment maintenance, and general administrative duties.
- Handle clerical tasks such as photocopying, scanning, and preparing correspondence or reports as needed.
Qualifications
- Proven office experience with strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Experience with QuickBooks or similar bookkeeping software is preferred.
- Excellent phone etiquette and customer service skills; bilingual abilities are a plus.
- Strong typing skills with high computer literacy and data entry accuracy.
- Knowledge of multi-line phone systems and front desk procedures.
- Previous clerical or administrative experience in a professional setting preferred.
- Ability to manage time effectively while handling multiple priorities in a fast-paced environment.
