Job Summary
The HR Administrative Assistant provides essential support to the Human Resources team, handling administrative tasks, maintaining employee records, assisting with onboarding, and helping ensure smooth day-to-day HR operations. This role is ideal for someone who is detail-oriented, organized, and eager to grow within HR.
Key Responsibilities
Administrative Support
- Maintain accurate and up-to-date employee files, records, and HR databases.
- Prepare HR documents such as offer letters, onboarding packets, and policy updates.
- Assist with scheduling interviews, meetings, and training sessions.
- Support HR with correspondence, reports, spreadsheets, and presentations.
- Handle general office administrative tasks as needed.
Recruiting & Onboarding
- Coordinate interview logistics between candidates and hiring managers.
- Communicate with candidates throughout the hiring process.
- Support new hire onboarding, including paperwork, I-9 verification, and orientation preparation.
- Ensure personnel files are complete and compliant with company standards.
HR Operations
- Assist in processing employee changes (promotions, transfers, separations).
- Help maintain HRIS accuracy and update employee information.
- Support benefits administration, including open enrollment and employee inquiries.
- Maintain confidentiality and handle sensitive information with discretion.
Employee Support
- Serve as a point of contact for basic HR questions.
- Assist with organizing employee events, trainings, and engagement initiatives.
- Help ensure workplace compliance with company policies and procedures.
Qualifications
- 1–3 years of HR or administrative experience preferred.
- High school diploma required; associate or bachelor’s degree in HR, Business, or related field preferred.
- Bilingual in Spanish is a strong plus (if applicable).
- Strong communication and organizational skills.
- Proficiency in MS Office (Word, Excel, Outlook).
- Ability to multitask, prioritize, and manage time effectively.
- High level of professionalism, integrity, and confidentiality.
Work Environment
- Standard office environment; may require occasional travel for trainings or meetings.
- Ability to sit or stand for extended periods and lift up to 10 lbs as needed.
