As an Office Assistant in our Construction Company, you will play a crucial role in supporting the daily administrative and operational functions of the office. Your responsibilities will range from general clerical tasks to project coordination, ensuring smooth communication and efficiency within the construction team. This role requires strong organizational skills, attention to detail, and the ability to work in a fast-paced environment.
Responsibilities:
Administrative Support:
- Perform general office duties, including answering phones, managing emails, and handling correspondence.
- Maintain and organize physical and digital filing systems for construction projects, contracts, and other relevant documents.
- Assist in the preparation of reports, presentations, and other documents as needed.
Project Coordination:
- Collaborate with project managers and construction teams to gather and organize project documentation.
- Assist in the preparation and distribution of project-related materials, including blueprints, schedules, and specifications.
- Track project timelines and deadlines, ensuring that all paperwork is completed and submitted on time.
Communication:
- Act as a liaison between the office and construction site personnel, ensuring effective communication between both environments.
- Handle inquiries from clients, suppliers, and internal staff, providing information and assistance as needed.
Office Organization:
- Maintain office supplies inventory and coordinate the ordering of necessary materials.
- Keep the office space organized and conducive to a productive work environment.
Data Entry and Record-Keeping:
- Enter and update project-related data in relevant databases.
- Maintain accurate records of meetings, decisions, and project developments.
- Assist in Meetings and Events:
- Schedule and coordinate meetings, appointments, and conferences.
- Prepare meeting rooms, materials, and assist in the logistics of company events.
Experience:
- Previous experience as an office assistant or in a related field is preferred but not required
- Proficient computer skills, including Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong organizational skills with the ability to multitask
- Excellent written and verbal ENGLISH communication skills.
- Attention to detail and problem-solving skills
- Ability to work independently with minimal supervision
- Knowledge of medical office procedures is a plus
