What are the responsibilities and job description for the Historical Document Imaging Associate position at Advantage Archives?
Advantage Archives specializes in capturing, preserving, and delivering historical media. Our Imaging Associates play a pivotal role in our mission of building strong community-based partnerships that allow us to preserve the past, make it accessible in the present, and ensure that it has a future. An Advantage Imaging Associate's primary responsibility is supporting the preservation, microfilming, and digitization effort to convert paper documents, historical books, yearbooks, newspapers, photos, slides, negatives, culturally significant records, and microfilm to digital images. Once digitized, these images will be made freely available to communities across the United States, connecting them to their history in an easily accessible format.
In this position, every individual will be cross-trained so that each team member can perform the entire life-cycle of preservation, archiving, and digitization. This may include document preparation, quality control of images, and indexing various fields pulled from the scanned documents. This ensures quality assurance in scanning, indexing, and editing. The Imaging Associate will be able to perform all of the responsibilities associated with the functions of document capture operations efficiently. This requires attention to detail and consists of repetitive tasks requiring sitting and/or standing for long periods.

ESSENTIAL TASKS
- Operate specialized book, document, and microfilm scanning equipment, ensuring optimal image quality and safety of the original materials.
- Perform entry-level electronic document imaging or micrographics work to include hardcopy scanning, microform scanning, and oversized scanning (e.g., maps, charts, and drawings) utilizing an array of digital scanners and/or microfilm cameras.
- Limited image formatting/conversion or manipulation of scanned microforms and other digital images
- Maintain established images per hour quota set for each project
- Handle physical and/or fragile historical materials and microfilm reels with care, ensuring the physical safety and security of the originals during the digitization process.
- Perform related work as assigned.
- Attend work regularly and in accordance with company leave and attendance policies.
- Comply with all applicable company policies and procedures.
NON-ESSENTIAL TASKS
- Prepare files and documents based on conversion requirements, including, but not limited to, arranging records in date order, removing duplicate copies, removing staples, separating multipage documents, and arranging and straightening papers for proper feeding through the scanner.
- Perform data entry and/or similar functions related to indexing and discovering scanned documents, including indexing scanned images with appropriate metadata.
- Verifying image quality and readability and addressing and correcting image quality issues as needed
- Performing post-scan image processing such as cropping, de-skewing, and splitting documents
- Adjust scanner settings for optimal image quality and efficiency.
- Calibrate and maintain scanning equipment to ensure consistent quality.
- Inspect stored film for signs of deterioration
- Report repair needs or issues with microfilm cameras or digital scanners
MINIMUM QUALIFICATIONS
- Graduation from High School or equivalent
- Detail-oriented with a strong focus on quality
- Basic computer skills. Experience entering information into spreadsheets or databases is a plus.
- Ability to work independently and as part of a team
- Willingness to submit to a background check and drug screening
SPECIAL CONSIDERATION IS GIVEN TO CANDIDATES WITH:
- Experience operating a microfilm camera or related micrographics services
- Experience using digital scanners to convert paper or microfilm to digital images
- Experience editing microforms or digital document output
- Experience working in a records management center or digital scanning service bureau.
- Familiarity with records management or archival standards.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Ability to read and arrange documents by alphanumeric order.
- Ability to use various scanning and viewing equipment and tools to ensure accuracy and quality while meeting goals and requirements
- Ability to move 30 pounds of work-related materials
- Ability to use a personal computer
- Ability to work independently or with minimal supervision
- Ability to adapt to changing work requirements and priorities
- Ability to communicate and interact effectively with other staff
Job Type: Full-time
Pay: $14.50 - $18.50 per hour
