Position Summary
The Dental Office Manager is responsible for overseeing all non-clinical operations of the practice, ensuring a seamless experience for patients and team members alike. This leadership role blends strategic planning, administrative efficiency, team management, financial oversight, marketing coordination, and treatment plan support. The ideal candidate is a proactive problem solver with a deep understanding of dental practice dynamics, exceptional interpersonal skills, and a passion for operational excellence.
Core ResponsibilitiesOperational Leadership
- Manage the day-to-day administrative operations of the practice, including scheduling, patient flow, and front desk procedures
- Ensure compliance with OSHA, HIPAA, and all regulatory standards
- Optimize use of dental software and systems to streamline operations and enhance patient experience
- Maintain a clean, organized, and professional office environment
Financial Management
- Oversee accounts receivable, insurance verification, claim submission, and collections
- Manage payroll, vendor relationships, office budgeting, and financial reporting
- Track key performance indicators (KPIs) such as production, collections, case acceptance, and patient retention
- Identify and implement strategies for financial growth and operational efficiency
Team Management
- Lead, train, and support administrative and clinical support staff, fostering a positive team culture
- Coordinate schedules, manage time-off requests, and ensure proper staffing (Hiring and training)
- Conduct regular performance evaluations and team meetings to encourage accountability and growth
- Serve as the liaison between clinical staff and administrative operations
Patient Relations & Treatment Coordination
- Ensure all patients receive exceptional service from first contact through treatment completion
- Present treatment plans, explain procedures and financial options, and manage insurance breakdowns
- Follow up on unscheduled treatment and support case acceptance efforts
- Resolve patient concerns promptly and professionally to maintain high satisfaction and retention
Marketing & Practice Growth
- Manage the practice’s online presence including website updates, Google Business profile, and social media platforms
- Plan and execute marketing campaigns, referral programs, and local outreach initiatives
- Monitor and report on marketing performance and new patient acquisition
- Promote positive online reviews and respond to patient feedback across platforms
QualificationsRequired
- Minimum of 3–5 years of experience in dental office management
- Deep understanding of dental insurance, billing procedures, and patient scheduling systems
- Proficiency with dental software (Dentrix, Dentrix Ascend)
- Strong leadership skills with the ability to inspire, coach, and hold staff accountable
- Excellent verbal and written communication skills
- High emotional intelligence and professionalism when interacting with patients and staff
Preferred
- Bachelor’s degree in healthcare administration, business, or related field
- Certification in Dental Office Management (e.g., AADOM)
- Experience with digital marketing tools (e.g., Canva, Hootsuite, Google Ads)
- Background in treatment coordination or clinical dental assisting
