We are looking for a Front Desk Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks. As a Front Desk Receptionist, you will be the first point of contact for our company. Our Front Desk Receptionist’s duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls. To be successful as a Front Desk Receptionist, you should have a pleasant personality, as this is also a customer service role. You should be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. This role may require working in shifts, so flexibility is a plus. Ultimately, a Front Desk Receptionist’s duties and responsibilities are (but are not limited to):
Administrative Duties
- Scheduling Appointments: Managing and coordinating patient appointments, ensuring optimal scheduling for clinicians and avoiding overlaps or conflicts.
- Managing Phone Calls: Answering incoming calls, responding to inquiries, and redirecting calls to the appropriate departments or personnel.
- Check-In and Check-Out: Greeting patients upon arrival, verifying appointments, and checking them in.
- Maintaining Records: Updating and maintaining accurate patient information including contact details and appointment history.
Patient Interaction
- Welcoming Patients: Creating a friendly and professional environment to put patients at ease, especially those experiencing emotional distress.
- Communication: Relaying messages between patients and clinical staff, ensuring confidentiality and professionalism.
- Intake Support: Providing new patients with necessary forms, assisting with completing them if needed, and collecting required documentation (e.g., ID, insurance card).
Operational Support
- Office Organization: Ensuring the front desk area is clean, organized, and stocked with necessary supplies (e.g., forms, pens, business cards).
- Collaboration: Working closely with clinicians and administrative staff to ensure efficient clinic operations.
- Crisis Handling: Recognizing and appropriately handling situations involving patients in crisis, such as contacting clinical staff or following safety protocols.
Compliance and Confidentiality
- HIPAA Compliance: Ensure all patient interactions and record-keeping comply with the Health Insurance Portability and Accountability Act (HIPAA) regulations.
- Security Protocols: Monitor the clinic's front entrance, maintaining a secure environment by managing access and monitoring visitor activity.
Additional Tasks
- Clerical Work: Assist with filing, photocopying, scanning, and mailing documents as needed.
- Communication Management: Distributing incoming mail, faxes, and emails to the appropriate recipients.
- Support Staff: Providing administrative support to clinicians or managers when requested.
Job Type: Full-time
Pay: $17.00 - $25.00 per hour
Expected hours: 40 per week
