JOB DESCRIPTION
Position: Manager of Operations
The Manager of Operations will be responsible for the day- to- day operations of ASC, as well as managing the organization’s Human Resources, helping with and creating organizational and program budgets in collaboration with the Executive Director. Reporting to the Executive Director and serving as a member of the Management Team, this position's primary responsibility is ensuring organizational effectiveness by providing leadership for the organization's financial functions. Working with the management team, the position also contributes to the development, operation, and implementation of organizational strategies, policies and practices. This position will also interact with the Board of Directors.
Responsibilities:
The Manager of Operations will:
Improve the operational systems, processes and policies in support of organizations mission -- specifically, support better management reporting, information flow and management, business process and organizational planning.
Play a significant role in long-term planning, including an initiative geared toward operational excellence.
Oversee overall financial management, planning, systems and controls.
Management of agency budget in coordination with the Executive Director.
Development with Executive Director of individual program budgets.
Invoicing to funding sources, including calculation of completed units of service.
Payroll management, including tabulation of accrued employee benefits.
Disbursement of checks for agency expenses.
Organization of fiscal documents.
Regular meetings with Executive Director around fiscal planning.
Supervise Financial and Operational Staff.
Responsibilities by Function
Financial Management
Direct annual budgeting and planning process for the organization's annual budget with
Executive Director.
Develop and manage annual budget.
Oversee monthly and quarterly assessments and forecasts of organization's financial performance against budget, financial and operational goals. Oversee short and long-term financial and managerial reporting.
Manage day to day processing of accounts receivable and payable using QuickBooks, producing reports as requested.
Assist Executive Director and Board of Directors in creating annual organizational budget and monitoring cash flow.
Manage grantor contracts and reimbursement requests.
Administer employee benefits and organizational insurance.
With Executive Director, prepare for the annual audit and act as liaison with all outside vendors.
Qualifications
Bachelors Degree in Business Administration or Related Area preferred or extensive experience in Organizational Management and Finance.
Commitment to social justice and the mission.
At least six years experience in Financial Management to include bookkeeping.
Excellent computer skills and proficient in excel, word, outlook, and access.
Expert knowledge of Quickbooks.
Excellent communication skills, both verbal and written.
Knowledge of government contract management.
A demonstrated commitment to high professional ethical standards and a diverse workplace.
Excels at operating in a fast paced, community environment; multi-tasking required.
Excellent people manager, open to direction and collaborative work style and commitment to get the job done.
