Position Title: Administrative Assistant
Reports to: Operations Manager
Location: Chicago, IL
Employment Status: Full-Time (Temporary)
Work Schedule: Monday-Friday, 8:00am-4:30pm, with 30min unpaid lunch
FLSA Status: Non-Exempt
Position Summary: Aldevra is currently seeking a qualified Administrative Assistant to support the operation of the Merit Systems Protection Board (MSPB) Regional Office in Chicago, IL. Please note: This is currently a 6-month position. The period of performance for this contract is January 27, 2025 to July 26, 2025. There are options for the government to extend services from July 27, 2025 to January 26, 2026, and a second option to extend services from January 27, 2026 to July 26, 2026. The government reserves the right to not extend.
This position is contingent upon contract award.
DUTIES AND RESPONSIBILITIES
The essential functions include, but are not limited to the following:
- Receive incoming telephone calls and visitors, determines the nature of business, and tactfully refers calls to the appropriate staff member.
- Assist with receipt and distribution of incoming mail for the agency.
- Create, tab, and tab paper files, indexes, and other documents as needed.
- Data entry and typing is done consistently on a computer.
- Use a variety of office equipment in conducting the work of the office, including but not limited to personal computers, fax machine, copy machine, mail equipment, scanner, etc.
- Communicate with court reporters and external customers to schedule telephone conference and in-person and video hearings.
- Initiate inquiries regarding case processing and responds to appeal inquiries on behalf of the Administrative Judge (AJ) of the office.
- At the direction of the Supervisory Paralegal Specialist to respond to the public, appellants, and their representatives, concerning potential, pending and past appeals and general Board procedures.
- All other duties as assigned.

Requirements
Security Requirements:
- Must be able to obtain government clearance and badge.
- The employee shall be responsible for safeguarding all MSPB equipment, information and property provided for contractor use. At the close of each work period, MSPB facilities, equipment, and materials shall be secured.
Workplace Safety and Environment:
This position is based in an office environment, primarily involving computer work, meetings, and collaboration with team members.
This position requires passing an extensive background check.
Qualifications:
- 2-4 years of experience in the administrative field or in a related legal assistant area.
- Basic knowledge of commonly-used concepts, practices, and procedures in the legal field.
- Excellent verbal communication skills and telephone manner
- Excellent and accurate written communication
- Familiarity with Windows operating systems; online calendars and cloud systems; intermediate to advanced skills Microsoft office products required
- Excellent attention to detail; accurate data entry
- Customer Focused and team-oriented work ethic
- Able to multi-task efficiently and accurately, focusing on quality
