Minimum Qualifications:

  • Strong communication and interpersonal skills.
  • Knowledge of medical terminology and healthcare privacy regulations (e.g., HIPAA).

Preferred Qualifications:

  • Certification as a Medical Administrative Assistant (CMAA) or equivalent.
  • Experience with insurance verification and billing processes.
  • Proficiency in multiple scheduling and practice management software platforms.
  • Bilingual abilities, particularly in Spanish or other commonly spoken languages in the United States.
  • Additional training or coursework in healthcare administration or customer service.

Responsibilities:

  • Greet and assist patients and visitors promptly and courteously, ensuring a positive first impression.
  • Manage appointment scheduling, cancellations, and rescheduling using electronic health record (EHR) systems.
  • Register new patients and update existing patient information accurately in compliance with privacy regulations.
  • Answer incoming calls, respond to inquiries, and direct calls to appropriate medical personnel or departments.
  • Collect and process patient co-payments, insurance information, and verify coverage prior to appointments.
  • Maintain organized and secure patient records, ensuring confidentiality and adherence to HIPAA guidelines.
  • Coordinate with medical staff to communicate patient arrivals, delays, or special needs.
  • Assist with administrative tasks such as filing, faxing, and preparing patient charts for appointments.
