About The Role

As a Partner in Wellbeing, the Compliance Specialist supports Alluma’s risk, privacy, and compliance functions by coordinating day-to-day compliance activities, maintaining systems and documentation, and supporting internal monitoring efforts. This position works closely with the Compliance Officer and cross-functional partners to ensure compliance-related requirements are tracked, documented, and followed. The Compliance Specialist plays a key role in helping Alluma remain audit-ready and aligned with applicable rules, regulations, contracts, and internal policies.

Essential Responsibilities

  • Maintain licensure, certification, and regulatory calendars; coordinate site visits and audits, gather and coordinate required documentation, communicate visit details and outcomes to internal stakeholders, and follow up to ensure timely completion.
  • Oversee Alluma’s incident reporting system, including initial review, categorization, follow-up tracking, and preparation of reports for Compliance Officer review. When appropriate, facilitate root cause analysis activities.
  • Administer Alluma’s policy and procedure management system, coordinating policy creation, revisions, approvals, version control, review cycles, and publishing to ensure documentation remains current and accessible.
  • Serve as a first point of contact for routine privacy and HIPAA matters, including logging and tracking privacy incidents, gathering preliminary investigation information, assisting with breach-related documentation, and escalating higher-risk issues as appropriate.
  • Maintain a centralized contract and grant compliance system, tracking obligations, reporting requirements, and deadlines, and routing contract- and grant-related compliance documents for review, approval, and signature.
  • Draft compliance training materials and resources for Compliance Officer review and approval.
  • Coordinate compliance-related training activities, including scheduling, tracking completion, and maintaining records. Provide training as required.
  • Conduct internal audits, reviews, and compliance assessments.
  • Conduct routine internal chart and documentation spot checks using established tools and criteria to support ongoing compliance monitoring.
  • Monitor corrective action plans and compliance calendars, tracking follow-up items and deadlines.
  • Prepare and maintain organized audit, monitoring, and review files to support internal and external reviews.
  • Participate in compliance-related projects and initiatives as assigned, serving as a support resource.
  • Perform additional duties as assigned or requested.

Qualifications

Required Education, Certification, Experiences

  • Associate or bachelor’s degree in healthcare administration, business, public health, compliance, or a related field, or equivalent experience
  • 1-3 years of experience in compliance, healthcare operations, quality, risk management, or a related administrative role
  • Must pass a criminal background check through MN DHS NetStudy
  • Valid driver’s license and insurable under the agency’s automobile insurance policy
  • Free from substance use problems for no less than 2 years
