PRIMARY PURPOSE:
Effect the efficient operation of food service routines and practices associated with a busy food service operation and an efficiently run office by performing accounts payable functions to ensure the prompt and accurate payment of vendors.
QUALIFICATIONS:
Minimum Education/Certification:
High school diploma or equivalent
Associates Degree or 2 years of college- preferred
Typing test >40 WPM required
Special Knowledge/Skills:
Knowledge of foodservice practices__ordering/inventory, experience with vendors and vendor
relations
Knowledge of bookkeeping/accounting principles and practices
Ability to use computer and software to develop spreadsheets and do word processing
Proficient in keyboarding, 10-key numerical data entry, and file maintenance/scanning
Work with numbers in an accurate and rapid manner to meet established deadlines
Maintain accurate and auditable records
Ability to use software to create spreadsheets, databases, and do word processing
Excellent communication, organizational and interpersonal skills
Ability to maintain confidentiality of information
Work Conditions:
Tools/Equipment Used: Standard office equipment including personal computer and peripherals
Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
Motion: Repetitive hand motions including prolonged keyboarding & use of mouse; occasional reaching
Lifting: Occasional lifting and carrying (less than 40 pounds)
Environment: Work with frequent interruptions; Must maintain professional demeanor under stress; Must have problem solving skills.
Regular attendance is an essential function.
Minimum Experience:
Three or more years in a food service-related financial/bookkeeping recording system or five years' experience in general clerical/bookkeeping responsibilities.
MAJOR RESPONSIBILITIES AND DUTIES:
- Assist in generating and organizing information into spreadsheets for departmental distribution.
- Follow operational requirements of the National School Lunch and Breakfast programs and related federal and state regulations.
- Report to the Resident District Manager any accounting discrepancies or inefficiencies by campuses.
- Process weekly and monthly closing of financial system; submit claim for reimbursement.
- Add new Vendors as needed to MyFinance as needed per Resident District Manager
- Edit checks and verify for accuracy.
- Generate and distribute monthly profit and loss statements to the school kitchens and supervisors.
- Prepare and disseminate information for early update of TDA application for free and reduced meal program.
- Type and distribute monthly inventory targets to the school kitchens and supervisors.
- Write and distribute memos, letters, reports and other forms of correspondence as requested.
- Operate a computer system running MS Windows, MS Word, Excel, and other computer applications as required.
- Serve as receptionist to the public and professional clientele as needed.
- Resolve problems in a timely fashion and consistently keep track of details
- Maintain confidentiality.
- Follow district safety protocols and emergency procedures.
- Abide by State and Federal laws, District policies, campus expectations and Texas Educator Code of Ethics.
- Perform such other tasks and assume such other responsibilities as may be assigned.
WORKING HOURS PER DAY:
8 hr day/ 8:00am -5:00pm with 1 hour for lunch
