POSITION SUMMARY:
Assists in planning, coordinating, and administering programs, systems and policies relating to supply chain functions.
Manages and directs assigned personnel and corresponding activities relating to materials acquisition, receiving, and
distribution. Manages the daily purchasing activities and maintains the Materials Management software system. Supervises
and directs the activities of various levels of assigned personnel using both professional and supervisory discretion and
independent judgment.
Manages all aspects of inventory (i.e. ordering items and receiving and distributing to appropriate areas).
Reviews equipment and supply needs for departments to ensure staff have what is needed to complete their job
functions effectively and efficiently.
Monitors and controls implemented processes to ensure that cost benefits have been achieved. Coordinates new
product evaluations. Applies advanced technical knowledge to solve complex problems for a department.
Manages and monitors the written policies, streamlined processes, quality improvement indicators, illustrated
procedures, etc. for the department. Recommends and implements materials management system changes.
Performs data management, process design, and end user training and aducation of materials management system.
Develops and maintains all policies, procedures, and resource documents for assigned departments.
Participates in the recruitment, selection, hiring and evaluation of personnel.
Performs other job-related duties as assigned.
ESSENTIAL JOB FUNCTIONS:
ADMINISTRATIVE DUTIES
Develops policies and procedures in the areas of procurement, inventory control, receiving and storage, distribution,
duplicating and mail transport throughout the hospital.
Coordinates productive hours, space, equipment and expense as they relate to materials and services contracts.
Provides administrative support to the Chief Financial Officer in the form of reports, budgets, supply utilization
analysis and capital expenditure management.
DEPARTMENTAL DUTIES
Reviews, evaluates and approves purchase orders, per hospital policy or as needed.
Reviews, evaluates and approves requests for non-stock purchases prior to procurement, per hospital policy or as
needed.
Maintains good interdepartmental and intradepartmental relationships by providing the highest level of services,
management assistance and open communication.
Interfaces directly with all departments in the hospital with regards to materials that have been requested to ascertain
specifications and need.
Reviews for approval all duplicating requirements of the various departments of the hospital with the highest level of
service, management assistance and open communication.
Essential in the involvement of all aspects and functions of the department.
Maintains adequate supply levels throughout the hospital, utilizing the PAR level replenishment system.
Reviews PAR level utilization as needed.
SUPERVISORY DUTIES
Develops department staff via ongoing in-service education, on-the-job training, evaluations and open departmental
meetings.
Coordinates all activities of the Central Supply area, with the exception of sterilization procedures.
Resolves personnel concerns at the departmental level, utilizing the grievance process as required.
CUSTOMER SERVICE
Negotiates and acts as the contact person for all purchase agreements with the various distributors for materials that
may or may not be addressed by a group purchasing organization.
Interviews sales representatives and reviews vendor performance data in relation to overall service rendered.
KNOWLEDGE-BASED PRACTICE
Solicits proposals from various manufacturers and distributors for all supplies and equipment throughout the hospital,
with the exception of pharmaceuticals and dietary products.
Coordinates the maintenance of the materials management computer software program.
Assists all department directors in the capital budget process.
Coordinates plans for capital equipment procurement and services with the various manufacturers and distributors.
Coordinates the maintenance of supplies in the hospital in emergency situations and maintains sources of
emergency supply items from other health facilities and vendors.
Ensures that the Materials Management Department follows established safe practices for receiving, storage and
disposal of hazardous substances.
Assists department directors in obtaining Material Safety Data Sheets on all hazardous materials used in the
hospital.
Coordinates leases for various large ticket items.
Coordinates supply chain trend studies.
DAILY JOB RESPONSIBILITIES
Works at maintaining a good rapport and a cooperative working relationship.
Attends committee, CQI and management meetings, as appropriate.
PERFORMS ORGANIZATIONAL DUTIES, INCLUDING BUT NOT LIMITED TO:
Acts as the chairperson of the Product Evaluation Committee.
Education:
Bachelor's degree or equivalent combination of education/related experience: Required
Master’s Degree: Preferred
Minimum Work Experience:
Five years’ relevant experience: Preferred
One year’s leadership experience: Preferred
Required Licenses:
Sterile Processing of Surgical Instrumentation certification: Preferred
Valid Driver’s License (DL): Preferred
