This position is considered Hybrid with an expectation to be in the Rosemont, IL office 1-3 times a month for All Staff Meetings, trainings, and department meetings. The compensation for this role will be based on experience within the given range on the job posting.

SUMMARY

Oversees and participates in the production of the AANA Journal manuscript and other publications such as supplements and sponsored articles. Primary responsibilities include implementing strong writing and editing skills to manage content through the review and proofreading process for the manuscripts to be finalize for publication in the AANA Journal.


MAJOR DUTIES & RESPONSIBILITIES

Serves as primary liaison with authors and reviewers on new manuscripts submitted to the AANA Journal via the Editorial Manager system. Provides initial review of manuscripts and performs technical checks.


Schedules meetings and educational programs and gives presentations on how to submit new manuscripts in the Editorial Manager system.


Participates in planning and helps present educational sessions held during the biannual Writers Workshop for reviewers at Annual Congress.


Works closely with the Editor-in-Chief (EIC) and Managing Editor in communicating with manuscript authors and coordinating publications.


Works with EIC to add reviewers with subject matter expertise in order to guarantee the smooth flow of manuscripts going through the Editorial Manager system (both new and revised), and generates statistical reports.


Maintains a list of AANA Journal priorities and supports collaboration between the EIC and the Editorial Panel.


Provides proofreading of articles as needed, including the application of AMA style for editing and formatting.


Oversees and troubleshoots the workflow of submitted manuscripts to ensure issues are addressed promptly to avoid missing publication deadlines. Assigns keywords and classifications to manuscripts to aid in searchability in Editorial Manager.


Actively communicates with authors of submitted manuscripts and reviewers to address issues identified during the editorial review process.


Oversees processes related to subscription opt-outs and mailing labels to ensure timely delivery of printed editions.


Provides help implementing the Equator Guidelines to reviewers evaluating newly submitted manuscripts.


Assists with major Journal initiatives as appropriate including but not limited to transitioning to a new website platform and coordinating with internal and external staff to complete impact factor generation process.


Manages member inquries received from Membership and other divisions.


Facilitates CE development for the AANA Journal Course including confirmation of proper documentation to receive ANCC credentialing.


Serves as a communication liaison to the AANA Journal volunteers, schedules meetings, prepares agendas and takes minutes for all committee conference calls. Works with EIC and Managing Editor to produce the Journal’s Annual Report.


Processes monthly invoices from vendors.


Reviews AANA Journal budget and monthly expenditures, and identifies and reports any issues to the Sr. Director of Research and Quality.

EXPERIENCE & SKILLS

EXPERIENCE:

  • Minimum of 3 years' experience working in manuscript management or editorial role for journals or publications.

SKILLS:

  • Excellent verbal and written communication skills.
  • Proficient with Microsoft Office Suite products (Word, Excel, PowerPoint, Outlook).
  • Strong social, oral and written communication skills for contact with members and the public.
  • Efficient in time management: comfortable working independently.
  • Able to meet deadlines.
  • Attention to detail.
  • Experience in Editorial Manager or other similar software preferred.

EDUCATION/CERTIFICATIONS/LICENSES:

  • Bachelor’s degree in Journalism, Communications, English, or similar/relevant field required.
