We are seeking a highly organized and detail-oriented Administrative Specialist to provide professional administrative support to our Executive Office and key departments, including Finance, Information Technology (IT), and Operational Excellence. This position serves as a central point of coordination and communication for various executive leaders, including the President & CEO, CFO, CIO, and other department directors.

KEY RESPONSIBILITIES:

  • Provide high-level administrative support to executive leaders and department heads.

  • Coordinate and schedule meetings, appointments, and events, including executive travel and logistics.

  • Prepare and edit documents, presentations, reports, and correspondence with accuracy and attention to detail.

  • Assist in planning and executing departmental events and meetings (formal and informal).

  • Maintain confidentiality while handling sensitive company information.

  • Communicate effectively and professionally with all levels of the organization.

  • Support office operations, manage calendars, and ensure timely task execution under shifting priorities.

  • Serve as a point of contact between executives and internal/external stakeholders.



MINNIMUM QUALIFICATIONS:



  1. Experience within Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Access. Skills must be demonstrated.

  2. Strong written and verbal communication skills, including grammar, spelling, and professional tone

  3. Experience planning departmental events and meetings (both in high-level and informal formats).

  4. Ability to tolerate stress while managing multiple tasks with numerous interruptions. Must meet deadlines under a dynamic work schedule. The nature of this job requires performing job duties with numerous interruptions.

  5. Good interpersonal skills and ability to interact with persons of different socio-economic, cultural, and educational backgrounds. Must exhibit the ability to cooperate well with others and establish and maintain effective working relationships.

  6. Demonstrated professionalism, good judgment, and a high level of discretion.

  7. Ability to work with confidential information and maintain confidentiality.

  8. Must possess a valid state issued driver's license.


PREFERRED QUALIFICATIONS:

  • Associate's degree in finance, accounting, office administration, business management, or a related field (proof required).

  • Previous administrative experience in a finance, IT, or executive environment.

  • Experience working in an industrial or manufacturing setting.

  • Prior support in managing executive calendars and arranging travel for senior leaders.

  • Exhibit prior experience supporting executive groups in a large organization.
