What are the responsibilities and job description for the Certification Coordinator position at American Farrier's Association?
FUNCTION
Coordinate all aspects of AFA Certification program. Assist candidates as/when necessary throughout the process. Participate in Certification Committee meetings and provide administrative support directly to Certification Chair and Examiners. Handle all administrative duties related to the Program. Ensure communications between the office, volunteers and candidates throughout all aspects of the Program are carried out in a professional and courteous manner.
Provide office administrative support. Assist staff team with Convention preparation and onsite event duties.
Responsible for specific duties as outlined below as well as other duties as assigned by the Executive Director.
DUTIES AND RESPONSIBILITIES
A. Certification Program Coordination
1. Act as primary staff liaison to the Certification Committee. Attend all meetings and provide direct administrative support to the Chairman and Examiners as needed. Coordinate annual Examiner meeting.
2. Handle all administrative duties related to the Program such as inputting and processing partial and completed exam results, preparing and mailing completion packets, preparing and mailing Examiner packets, and ordering and preparing all related materials and supplies to ensure a seamless process.
3. Assist with Program updates and additions when necessary, such as revisions of the Certification Study Guide, written exams, and new examination areas.
4. Maintain current and updated Program Tester list and ensure it’s accessible to Certification Chair and Certification hosts.
5. Update Program information on website as necessary and post and maintain Certification calendar.
6. Assist Chair with administrative tasks related to maintaining reciprocity with the Farriers Registration Council in the UK.
B. Certification Program Communications
1. Assist all candidates throughout the process as/when necessary in a professional, courteous and helpful manner.
2. Ensure all Program volunteers and hosts are receiving materials in a timely manner, and all communications with both are prompt and courteous.
3. Ensure all horseshoeing schools are receiving regular communications related to the Certification and Pre-Certification programs, the Jim Linzy Scholarship, and other updates as needed.
4. Ensure all AFA Chapters have up-to-date Program information for hosting Certification exams.
5. Assist staff team in creating and posting educational, interesting and relevant Program content on social media. Assist staff team with print and digital advertising for the Program.
6. Ensure digital learning library is updated, maintained and accessible for all candidates.
7. Promote Program at industry tradeshows as/when necessary.
C. Pre-Certification Program Coordination
1. Provide direct administrative support to Pre-Certification Chair and Certification Instructors. Attend meetings as necessary.
2. Track Pre-Certification candidates and subsequent examination success rates.
3. Assist with Program outreach to horseshoeing schools and Chapters.
4. Assist with updates to Program as/when necessary.
D. Office Administrative Support
1. Assist as needed with membership processing of renewals and new members.
2. Assist with answering in-office phone calls, answering member questions and, when necessary, routing to the correct staff person.
3. Work with staff team to ensure all members are responded to in a timely manner.
4. Assist with content bi-monthly for No Foot, No Horse magazine.
5. Assist staff team with annual AFA Convention duties including, but not limited to, registering members, marketing, attending planning meetings, preparing all supplies and materials for shipping, and providing on-site team support throughout the week. Other Convention duties may be assigned.
SKILLS REQUIRED
· Previous association experience preferred.
· Bachelor’s degree or commensurate work experience preferred.
· Maintain professional and courteous demeanor at all times.
· Respond to all members in a timely manner.
· Exhibit working knowledge of computers and software in a Windows environment.
· Demonstrate proven accuracy and attention to detail.
· Demonstrate excellent oral and written communication skills.
· Demonstrate strong meeting/event planning skills
· Must be able to function as part of a team and collaborate between organizations.
· Capable of setting priorities when multiple demands are present and demonstrate ability to work in a fast-paced environment.
ADDITIONAL INFORMATION
· Office hours: 8:00am – 5:00pm.
· Travel: 15%. Must be able to travel to week-long annual Convention, annual Examiners meeting and tradeshows when requested.
