Job Summary
We are seeking a highly organized and detail-oriented Office Manager / Bookkeeper to oversee daily office operations and manage financial records. This role requires strong administrative skills, experience in bookkeeping and vendor management, and the ability to coordinate various office functions. The ideal candidate will possess excellent communication, organizational, and leadership skills to ensure smooth office workflow and accurate financial management.
Responsibilities
- Manage day-to-day office operations, including front desk duties and multi-line phone systems
- Oversee calendar management, scheduling appointments, meetings, and events
- Handle bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and bank reconciliations
- Manage payroll processing and human resources functions such as employee records and benefits administration
- Coordinate vendor management activities, including procurement and service provider relationships
- Assist with budgeting, financial reporting, and expense analysis to support organizational goals
- Supervise administrative staff and provide training & development opportunities
- Maintain filing systems for documents, records, and correspondence
- Oversee medical office management if applicable, ensuring compliance with relevant regulations
- Ensure effective communication across teams through phone etiquette and professional interaction
- Support event planning activities for organizational functions or client engagements
Qualifications
- Proven experience in office management, bookkeeping, or administrative roles with clerical or medical office experience preferred
- Strong proficiency in QuickBooks and other Office Suite applications
- Demonstrated supervisory experience with team management capabilities
- Excellent organizational skills with the ability to handle multiple priorities effectively
- Effective communication skills for interacting with staff, vendors, and clients
- Experience in schedule management, calendar coordination, and event planning
- Knowledge of vendor management processes and human resources functions including payroll processing
- Ability to manage budgets and perform basic financial analysis
- Professional demeanor with strong phone etiquette and customer service skills
- Prior experience with training & development initiatives is a plus
