Position Summary

This position provides administrative support for AWS Foundation Scholarships, Grants, and Workforce Development programs, as well as the day-to-day operations of the AWS Foundation department.

Essential Duties

  • As Program Coordinator, assist Scholarship Administrators in the scholarship process, from application to selection to disbursement. Utilize on-line application management software, as well as MS Excel and Word, to track applicant progress, status and student data.
  • Upload and verify application documentation, such as transcripts, cost of attendance, reference letters, photos and additional documentation.
  • Monitor the AWS Foundation inbox, respond to scholarship-related inquiries, and redirect other messages to the appropriate staff for follow-up
  • Assist with departmental mailings, including the mailing of scholarship checks to schools.
  • Assist in assembling content to announce scholarship recipients in the Welding Journal, AWS website, and FABTECH.
  • Monitor Google Alerts and log AWS Foundation-related articles, news clips, etc.
  • Help to maintain a scholarship alumni database.
  • Office Support
    • On-site support for remote Foundation employees
    • Fulfill requests for workforce development materials received through the web, phone and email.
    • Check and distribute department mail
    • Coordinate promotional mailings and shipments
    • Organize and maintain inventory
    • Assist in digital research and data projects
    • Provide support for on-site meetings and events
  • Perform other duties as assigned.

Required Knowledge, Skills & Abilities

  • Excellent English writing and editing.
  • Strong attention to detail and the ability to manage concurrent work projects.
  • Excellent phone and email etiquette.
  • Positive attitude.
  • Ability to resolve administrative problems by analyzing information and identifying solutions.
  • Proficient computer skills (PC based network environment, including use of MS Windows, Office, Outlook, Teams, Zoom, internet).
  • Ability to collaborate with the team using technology (audio and video conferencing, collaborative software).
  • Ability to work independently

Required Education and Experience

  • High School diploma or GED.
  • 1 year of experience working in an office desirable.

Working Conditions and Required Physical Abilities

When working on site, this position is located in a quiet to moderately noisy indoor office environment. When working remotely, must utilize a comfortable workspace, free from distractions and loud noises, with a strong internet connection.

Individuals in this type of position must have the use of sensory skills in order to effectively communicate with other employees and the public through use of the telephone and personal contact as normally defined by the ability to see, read, talk, sit, stand, hear, use of fingers in order to handle, feel or operate objects and write. Must have the physical capabilities to move about the office and to effectively use and operate various items of office related equipment, such as but not limited to personal computer, calculator, copy machines. Must be able to remain seated at a keyboard or desk for extended periods. Must be able to lift, carry, and/or push/pull articles weighing up to 20 lbs.
