Job Overview
We are seeking a highly skilled and detail-oriented Accounts Payable and Administrative Specialist to join our team. This individual will primarily be responsible for accounts payable and transactional accounting for operating businesses and the personal accounts of family office clients. In addition to accounts payable, this role will provide personal administrative services for family constituents, as well as managing the needs of a small but dynamic office. The ideal candidate will have a strong background in accounts payable, excellent communication and organizational skills, and the ability to handle confidential information with discretion.
Key Responsibilities
Accounts Payable and Accounting Support
· Manage and execute the accounts payable cycle for closely held operating entities as well as the
personal accounts of family office clients.
· Transactional bookkeeping for real estate holdings, operating entities, and personal accounts.
· Reconcile credit card statements.
· Monitor cash account balances and ensure liquidity for operational and personal needs.
· Document management and organization of legal documents, private equity statements, bank and
brokerage statements, tax documentation, and more.
· Assist Senior Accounting Manager with cash balance monitoring and reporting.
· Support on special accounting, legal, financial, and investment projects and initiatives as needed.
Administrative and Family Services
· Serve as a welcoming first point of contact for visitors and callers to the office.
· Daily processing of business and personal mail, as well as delivery management.
· High-touch concierge services for family members, their business interests, and personal wealth;
including but not limited to:
o Personal residence management, such as scheduling and coordinating with utility providers,
contractors, and other service providers
o Personal vehicle management, including insurance and tag renewals, as well as maintaining
subscription services
o Storage and management of critical personal documents, including passport and other ID
expirations, car titles, home deeds, etc.
o Calendar administration for family events, entertainment/sporting/concert tickets, vendor
appointments, etc.
Qualifications
· Minimum of 3-5 years in an accounts payable or other related accounting role.
· Associate’s degree or higher in accounting preferred.
· Proficiency in software systems including QuickBooks, bill.com, and Microsoft Office Suite.
· Exceptional organizational skills with a keen attention to detail and accuracy.
· Excellent communication skills, both written and verbal.
· Ability to handle sensitive and confidential information with discretion, and a commitment to the
privacy of the family’s financial and personal lives.
· Self-starter with initiative and strong problem-solving skills, and the ability to work independently
and as part of a team.
· A willingness to learn in a fast paced and dynamic environment, and the flexibility to change course
quickly as different family and business needs arise.
