Anders CPA’s Advisors, a growing accounting firm, is seeking an organized, professional, energetic and detail-oriented Executive Assistant to join our team. The assistant selected will support members of the Outsourced Accounting department including: partners and staff members. Knowledge of financial and accounting terminology preferred.
The Executive Assistant must demonstrate the ability to handle multiple projects and details simultaneously. This position requires tact, diplomacy and a clear, courteous and professional manner. In addition, they must demonstrate effective oral communication skills and the ability to work cooperatively with staff inside and outside of the department.
Specific duties and responsibilities include (but are not limited to):
- PROCESS QUARTERLY AND YEAREND PAYROLL REPORTS: Process payroll reports (including 1096/1099s), due dates being in January, April, July, October. Monthly processing of Sales and Use Tax reports.
- PROCESS PERSONAL PROPERTY TAX REPORTS: Process City and County reports, due dates being in March and April.
- MONITORING OF ACS PROJECTS: Assist ACS Managers with status of ACS projects and run reports as needed.
- MANAGE E-FILING RECONCILIATIONS: Assist in project reconciliation for Form W-2 and Form 1099 E-Filing.
- MAINTAIN PAYROLL WORKPAPER FILES: Organize and maintain periodic payroll workpaper files for payrolls prepared by outside payroll companies.
- PROCESS TAX RETURNS: Process tax returns, heavy due dates being in March and April but continuous processing yearlong with the different fiscal year ends.
- SCANNING: Scan client documents into electronic network files.
- BILLING: Generate invoices twice a month and maintain billing folders for Partners and staff.
- ACCOUNT RECEIVABLE STATEMENTS: Generate and provide monthly account receivable statements to Partners and staff.
- CORRESPONDENCE: Process firm correspondence. All correspondence must be finalized by a Support Staff member. All correspondence must follow ANDERS format and be Scanned and Published in iChannel.
- ADMINISTRATIVE SUPPORT: Provide administrative support as required by Office Manager, Partners and staff. Backup other Administrative Assistants with all phases or processing, scanning, filing, and other duties as assigned.
