- Our client, a small boutique firm in Oakland has an opening for a part time legal secretary. The ideal candidate should have the experience:
- Requires skill in Word, including knowledge of formatting, tables, styles, i.e., creating table of contents and authorities; and conversion and bookmarking of .pdf documents for filing."
- This is 32hours per week with Friday off. They offer paid parking, 5 Vacation days a year and a $200.00 stipend for health care.
- LEGAL SECRETARY POSITIONESSENTIAL FUNCTIONS:
- Format, proofread, and edit pleadings, correspondence and memoranda in preparation for filing, including Table of Contents and Table of Authorities;
- Timely file and serve court documents with state, federal courts and administrative bodies, including electronic filing where applicable (knowledge of e-filing and e-service is required);
- Communicate with courts and support staff of clients, opposing counsel and vendors;
- Schedule and reserve dates for hearings, depositions, meetings, conferences;
- Occupy desk during regular business hours to direct incoming phone calls, receive deliveries/ service of documents and pleadings, and attend to attorney needs;
- Research state and federal rules of court and work with attorneys to ensure adherence to deadlines, local rules, and codes of civil procedure;
- Assist with preparation for depositions, hearings, mediations, trials and other proceedings;
- Assist with the production of discovery, including the intake, organization, labeling, and production of documents;
- Review incoming mail and correctly route to appropriate parties;
- Review and maintain case files and locate relevant case information for attorneys;
- Ensure dates are calendared appropriately and that attorney and firm calendars are maintained to track meetings, hearings, depositions, court dates and other due dates;
- Prepare attorneys’ check requests and coordinate payment to vendors when necessary;
- Work overtime as needed to complete essential functions.
QUALIFICATIONS
MUST HAVE: Requires skill in Word, including knowledge of formatting, tables, styles, i.e., creating table of contents and authorities; and conversion and bookmarking of .pdf documents for filing.
- High school diploma required; Bachelor’s degree preferred;
- At least 3 years of litigation legal secretary experience supporting a Partner or Senior Counsel is required, with at least 2 years of employment litigation desired;
- Superior customer service skills;
- Accuracy in grammar, spelling and punctuation;
- Strong attention to detail and ability to multi-task effectively;
- Knowledge of and experience using Microsoft Office and Clio is preferred;
- Knowledge of and experience with an electronic document management system, time-entry program and calendaring program.
