What are the responsibilities and job description for the CLIENT CARE SPECIALIST/RECEPTIONIST position at Animalscopic Inc?
We are looking for a Client Care Specialist/Receptionist with vet industry experience who loves working with the public. This team member needs to be self-motivated, with customer service, call center or front desk experience and a “Take Charge”, “Can Do It” attitude.
Essential Duties
- Welcomes clients and patients to the practice and makes them comfortable
- Follows established hospital guidelines for communicating with clients in different types of situations, such as general inquiries, scheduling and F/u appointments, routine and non-routine medical questions, patient emergencies, and prescription refills.
- Communicates with clients as needed regarding invoices and other patient related inquiries.
- Handles basic questions regarding hospital services, fees, and animal care and treatment in accordance with hospital policies.
- Discerns any potential client problems, complaints, or questions and handles them appropriately.
- Relays medical instructions; itemizes the client’s statement; reviews it orally with the client; and informs the client about hospital policies, such as pre-operative instructions, payment and credit policies etc.
- Contacts clients to schedule discharge appointments and re-appointments, and confirms appointments and pre-surgical instructions
- Accurately enters and retrieves records and reports, enters fees and charges, and maintains the ezVet database.
- Accepts and processes payments from the clients.
- Performs end-of-day procedures including balancing the cash drawer, reconciliation and running daily reports.
Requirements
- High school diploma
- 1 years of in a Veterinary Hospital or Clinic experience required.
- Customer Service, Call Center or Front Desk experience required
- Knowledge of general office practices and procedures, receptionist type duties, and telephone techniques.
- Must be able to sit, stand and be mobile for up to six hours at a time and may require stooping, kneeling, reaching, grabbing, lifting and carrying throughout the course of a shift.
- Knowledge of veterinary medical terminology and procedures, general computer skills and EzyVet Software.
