What are the responsibilities and job description for the Executive Assistant position at Anyon LLC?

Anyon Interior Design is a full service interior design firm specializing in high end homes in Northern California and other national markets. We are looking for an Executive Assistant to partner closely with the Owner/Principal to effectively plan, organize and execute a multitude of tasks, projects and meetings.  The ideal candidate brings a strong level of experience as an Executive Assistant with excellent communication skills, a high level of professional maturity, and the ability to work in a fast paced and ever evolving work environment. Experience with marketing and social media, and well as IT and internal file organization are a plus.


Job Functions/Requirements:

  • Monitor Principal’s email inbox which requires responding on their behalf, alerting Principal of important email’s contents and being responsible for follow up. Disseminating info to staff and delegating tasks based on emails per Principal instructions.
  • Help maintain personal, client and vendor relationships and follow up.
  • Manage Principal’s calendar and all scheduling / meeting preparation.
  • Constant and clear communication / coordination with Principal, COO, HR, other important stakeholders.
  • Assist Principal in marketing and PR related projects. 
  • Help with general office maintenance / technical issues as they arise.
  • Assist in planning of company related events.
  • Help prepare for client meetings as well as necessary follow up, attend meetings as needed.
  • Take and organize client/project notes, minutes, etc.
  • Supports COO as needed with operational initiatives and activities.
  • Booking Principal’s air, car and hotel travel.
  • Assist with company related errands.
  • Assist Principal with personal items personal activity coordination.
  • Company and personal trip itinerary planning/sourcing for Principal.
  • Tracking Principal’s company expenses and having monthly meetings with Accounting.
  • Personal assistant related tasks for Principal. I.e.: Scheduling personal appointments, car maintenance, etc.
  • Helping manage ancillary Principal properties.


Requirements:

  • Ability to work in a fast-paced, busy environment
  • 2 years of related Executive Assistant administrative experience
  • Proficient in MS Office and Google applications
  • Experience with StudioDesigner helpful
  • Associate’s Degree or higher
  • Highly organized and able to provide/communicate information rapidly
  • Exceptional time management skills combined with exceptional prioritization/multi-tasking skills
  • Excellent written/verbal communication skills
  • High tolerance to tightly defined timelines / ability to be flexible
  • Ability to work in-person a majority of the time


Physical Requirements:

  • Ability to work in a seated environment for up to 8 hours a day
  • Ability to work on a computer for up to 8 hours a day
  • Ability to use the phone for extended period of times
