Job Summary
The Director of Administration is a senior leadership role responsible for overseeing the administrative, operational, and organizational infrastructure of the company. This position plays a critical role in ensuring the efficient management of a real estate portfolio that includes commercial and mixed-use assets, while maintaining compliance, consistency, and high service standards for tenants, investors, and internal stakeholders.

Reporting to executive leadership, the Director of Administration partners closely with the COO, Asset Management, Accounting, Property Management, and Field Operations to streamline workflows, strengthen accountability, and drive operational excellence across the organization.

Key Responsibilities

Administrative Leadership

  • Develop, implement, and maintain company-wide administrative policies, procedures, and internal controls.
  • Oversee day-to-day office operations, including vendor contracts, insurance compliance, records management, and AppFolio system administration.
  • Coordinate HR, legal, and compliance matters in collaboration with executive leadership and external counsel.
  • Design, implement, and monitor workflow systems that align tenant requests, maintenance priorities, and departmental deliverables.
  • Support executive leadership on special initiatives including acquisitions, portfolio transitions, system implementations, and process improvements.

Real Estate Operations Support

  • Oversee tenant relations and lease administration, including move-ins, move-outs, renewals, and compliance tracking.
  • Manage work order workflows and service standards to ensure timely resolution and clear communication with tenants.
  • Monitor vendor relationships, service contracts, and procurement processes to ensure cost efficiency, performance, and quality.
  • Oversee CAM reconciliations, operating expense tracking, and coordination with accounting for accurate and timely reporting.
  • Ensure compliance with local, state, and federal regulations, risk management requirements, and internal company protocols.

Financial & Reporting Oversight

  • Partner with the COO, Asset Manager, and Accounting team on property budgets, wage budgets, and monthly financial reporting.
  • Track administrative and operational expenses against approved budgets, identifying trends, risks, and cost-saving opportunities.
  • Provide executive leadership with operational dashboards, compliance reports, and workflow analytics through AppFolio and internal reporting tools.

Qualifications & Experience

  • Bachelor’s degree in Business Administration, Real Estate, Finance, or a related field (or equivalent experience).
  • 7 years of progressive experience in real estate administration, property management operations, or business operations leadership.
  • Strong working knowledge of commercial real estate operations, lease administration, CAM reconciliations, and vendor management.
  • Hands-on experience with AppFolio or comparable property management/accounting systems.
  • Demonstrated ability to design and enforce policies, SOPs, and workflows across multiple departments.
  • Strong financial acumen with experience supporting budgets, expense tracking, and operational reporting.
  • Excellent organizational, communication, and leadership skills with the ability to manage multiple priorities in a fast-paced environment.
  • High attention to detail, strong judgment, and a proactive, solutions-oriented mindset.

Pay: $100,000.00 - $125,000.00 per year
