JOB SUMMARY:
The ideal candidate will be responsible for overseeing customer orders, creating quotes for chemical, equipment, and service activities, generating purchase orders for vendors, managing purchase orders, building relationships with vendors and staff, and conducting inventory inspections. This role requires excellent communication skills, strong attention to detail, and the ability to thrive in a fast-paced environment!
JOB DUTIES:
- Customer Order Management: Receive and process customer orders promptly and accurately. Ensure timely delivery of orders and address any customer inquiries or concerns regarding orders.
- Quoting: Prepare detailed quotes for chemical, equipment, and service activities based on customer requirements. Collaborate with sales and technical teams to ensure accurate and competitive pricing.
- Maintain Accurate ERP Reporting: Input accurate and up-to-date information into the ERP system, including sales orders, purchase orders, inventory levels and financial transactions. Validate data for completeness, accuracy, and compliance with company policies and procedures before entering it into the system.
- Purchase Order Generation and Management: Generate purchase orders for vendors based on approved quotes and customer orders. Track and manage purchase orders to ensure timely delivery of goods and services.
- Vendor Relationship Management: Develop and maintain strong relationships with vendors to facilitate smooth transactions and resolve any issues that may arise. Negotiate terms and pricing with vendors to achieve cost-effective solutions.
- Staff Collaboration: Collaborate with internal teams, including sales, operations, and logistics, to ensure seamless order fulfillment and customer satisfaction. Provide support and assistance to colleagues as needed to meet customer needs and business objectives.
- Inventory Inspections: Conduct regular inventory inspections to ensure accuracy and identify any discrepancies. Coordinate with warehouse and logistics teams to reconcile inventory records and maintain optimal stock levels.
MINIMUM REQUIREMENTS:
- High school diploma or equivalent
- 2 years of experience in an administrative or customer-service role, preferably in the chemical or manufacturing industry
- Strong proficiency in Microsoft Office Suite and experience with ERP systems (e.g., SAP, Datacor, Job Boss, Acumatica)
- Excellent communication skills, both verbal and written, with the ability to interact effectively with customers, vendors, and internal teams and exhibit strong customer service skills
- Exceptional organizational skills and attention to detail, with the ability to prioritize tasks and manage time effectively in a fast-paced environment
- Proven ability to build and maintain positive relationships with vendors and colleagues
- Ability to work independently with minimal supervision and also as part of a team
PREFERRED REQUIREMENTS:
- Associate’s degree or higher in Business Administration, Supply Chain Management, or a related field
- Knowledge of inventory management principles and experience conducting inventory inspections
