Our elder law firm is seeking a personable and organized Intake Specialist to join our team. This individual will be the first point of contact for potential clients, responsible for gathering and managing information, scheduling consultations, and supporting various business development and administrative activities. If you excel at active listening, dynamic conversations, and staying on top of details, we’d love to hear from you!
Key Responsibilities:
Engage with potential clients to assess their needs and determine if they align with the firm’s services.
Schedule initial consultations and manage the firm’s calendar for new leads.
Accurately create and track leads within the case management system.
Respond to email and phone inquiries from potential new clients within 24 hours.
Review the lead pipeline weekly and follow up on outstanding leads.
Complete daily tasks assigned in the case management system.
Provide support to attorneys and paralegals during initial consultations.
Assist the business development team with initiatives to generate new clients.
Draft retention agreements for potential clients.
Contribute to and prepare materials for the weekly Business Development Meeting.
Monitor and report trends in lead calls and referral sources.
Analyze firm lead and revenue data, running reports as required.
Maintain clear and proactive communication with all team members and clients.
Qualifications:
Strong phone presence and the ability to build rapport with clients.
Curious and detail-oriented with excellent organizational skills.
Exceptional verbal and written communication skills.
Proficient in case management software and other business tools.
Ability to multitask, prioritize, and work efficiently in a fast-paced environment.
Experience in client-facing roles, especially in a law firm or professional services environment, is a plus.
