Position Description:Position Overview: The Documentation Coordinator plays a crucial role in ensuring the accuracy, completeness, and organization of the Clinical Affairs documentation. Responsible for creating, editing, and maintaining a variety of documents, the coordinator will be 100% onsite collaborating with cross-functional teams to ensure content quality. Attention to detail and adherence to document standards are key aspects of this role. The Documentation Coordinator may also help develop and improve documentation processes to enhance overall efficiency and effectiveness. Strong communication skills and a commitment to delivering high-quality documentation are essential for success in this position.
Key Responsibilities:
- Content Management: Organize and maintain a centralized repository for all documentation, ensuring easy access and retrieval of information by relevant stakeholders.
- Communication: Maintain open lines of communication with team members and stakeholders, addressing queries and providing clarification on documentation-related matters.
- Process Improvement: Identify opportunities to enhance documentation processes, proposing and implementing improvements to increase efficiency and effectiveness.
- Formatting Consistency: Maintain consistent formatting throughout documents, spreadsheets, or presentations to enhance readability and professionalism.
- Quality Assurance: Conduct thorough reviews to ensure that the exported files accurately represent the original content, with proper formatting, fonts, and styles.
Performance Objectives:
Within your first 30 days:
- Complete all Applied Learning foundational courses with a passing grade of 95% or above, demonstrating rapid integration into company processes.
- Familiarize yourself with the existing documentation repository and understand the structure and organization of key documents.
- Communicate with team members to understand their preferences and requirements for documentation collaboration.
Within 60 days:
- Take ownership of low to moderately guided projects, ensuring 100% progress to the next phase, demonstrating initiative.
- Develop advanced skills in formatting and styling documents to enhance professionalism and visual appeal.
- Engage in collaborative documentation projects with cross-functional teams to strengthen teamwork and gather diverse perspectives.
- Monitor the impact of changes and gather feedback from team members on the effectiveness of the optimized documentation processes.
Within 90 days to one year:
- Contribute significantly to a minimum of three projects and increase project efficiency.
- Cultivate strong interpersonal connections and increasing the success and efficiency of collaborative projects
- Showcase a well-rounded and diverse portfolio of documents that demonstrate mastery of various documentation types and styles.
- Continuously refine documentation processes based on ongoing feedback and lessons learned.
- Associate's degree or above
- Efficient organizational capabilities
- Exceptional written and oral communication skills, particularly in writing, editing, and proofreading
- Able to self-manage and work successfully as independent contributor
- Administrative support experience
- Proficient in Microsoft Office programs, like Outlook, Word, Excel, and PowerPoint
- Strong attention to detail
- Problem solving skills
