Responsibilities
- Benefits Administration
- Serve as the primary contact for employee benefits inquiries, providing guidance across medical, dental, vision, life insurance, disability, FSA/HSA, and related programs.
- Partner with the benefits broker to administer plans, manage renewals, support open enrollment, and ensure compliance with ACA, COBRA, and other relevant regulations.
- Orient new hires and active employees to available benefits and support offboarding benefits processes.
- Maintain accurate and up-to-date benefits records in Paylocity and associated benefits platforms.
- Support preparation and delivery of benefit reports for internal stakeholders, including Finance.
- Employee Support
- Respond promptly and professionally to employee inquiries and concerns related to benefits.
- Serve as a liaison between employees and carriers/vendors to resolve complex issues.
- Ensure clear, consistent, and compassionate communication regarding benefit offerings and changes.
- Payroll Support
- Assist with various payroll-related functions, including auditing benefits data, verifying benefit-related entries in payroll, and helping ensure accuracy of deductions and classifications.
- Reconcile benefits data across systems and participate in audits and data reviews beyond deductions alone.
- Compliance & Data Integrity
- Ensure ongoing compliance with federal, state, and local regulations.
- Maintain confidentiality and accuracy of employee data and records.
- Identify and implement process improvements to streamline workflows and reduce risk.
- Collaboration & Flexibility
- Work independently while maintaining strong communication with the Director of Payroll and Benefits.
- Collaborate as a team player to support shared goals and take initiative where gaps exist.
- Assist with additional duties and special projects as needed.
Qualifications
- Experience:
- 3–5 years of direct experience in benefits administration, preferably in a growing, multi-state organization.
- Skills & Competencies:
- Solid understanding of employee benefit programs and applicable regulations (ERISA, HIPAA, ACA, COBRA, FMLA).
- High attention to detail with strong organization and time management skills.
- Strong interpersonal skills with the ability to clearly communicate complex information to employees.
- Ability to work independently with minimal supervision while being accountable for results.
- Proven ability to thrive in an unstructured environment and manage multiple priorities under tight deadlines.
- Proficiency with HRIS platforms, particularly Paylocity, and Microsoft Office Suite (Excel, Word, Outlook).
