General Summary
The Artist Services Associate will provide administrative and operational support for the Artist Services Manager and the entire Artistic Operations team. The Artist Services Associate will support contract administration and guest artist services primarily for Education, Lifelong Learning and Youth Ensembles while assisting with Naples Philharmonic Classical and Pops programs, Presentations, Broadway and Partnerships activities.
- Coordinate and assist with artist contracting to full execution, including drafting agreements, primarily for Education and Lifelong Learning Lecturers and Youth Ensemble performances.
- Assist Artist Services Manager with advancing all artist services for these activities such as payment, hotel, transportation, and scheduling.
- Prepare detailed itineraries and welcome packets.
- Support Artist Services Manager with timely communication as liaison between Artis—Naples departments and agents, guest artists, conductors, and lecturers about technical, marketing and rider requirements.
- Assist in service coverage as assigned, including backstage operations and occasionally acting as driver or runner for artists.
- Assist with meet and greets, guest lists and receptions in coordination with the Artist Services Manager. Assist with the preparation of guest artist or conductor visa applications and processing. Submit quarterly licensing reports for ASCAP, BMI, and SESAC for non-orchestra performances.
- Assist Artist Services Manager with annual artistic budgets and reforecasts.
- Assist with Naples Philharmonic and Youth Ensembles auditions.
- Provide support for the Artis—Naples staff use of ArtsVision including tracking contracts, building the season schedule, booking rooms and creating events.
- Observe safety requirements. Report safety issues and items requiring work orders to Supervisor or Safety & Security.
- Work effectively with all Artis—Naples team members.
- Bachelor’s Degree or equivalent education, preferably in music or the performing arts.
- Strong interpersonal skills, especially with departmental team members and artists.
- Detail oriented and flexible.
- High energy, sense of humor and grace under pressure.
- Familiarity with ArtsVision and Tessitura a plus, but not required.
- Knowledge of and/or interest in music and performing arts preferred.
- Frequent nights and weekend work is required.
- Valid Driver’s License required
