Job Overview: ASCAP is seeking an Executive Assistant to support our Senior Vice President, Chief Technology Officer with the flexibility to support other executives in the future. This position will be based in our New York office and will be responsible for providing day-to-day administrative support the executive as well as assisting in coordinating various functions for the departments.
Areas of Responsibility/ Accountability:
- Provide administrative support to the Senior Vice President, Chief Technology Officer
- Interact and correspond with all levels within the organization and external organizations including senior management
- Prepare and revise written documents and correspondence as needed
- Provide calendar support
- Coordinate onsite and offsite meetings
- Coordinate travel arrangements, car rentals, and create itineraries and travel packets
- Create expense reimbursement forms and track various business expenses
- Liaise with outside vendors as necessary
- Create and/or maintain accurate files
- Maintain confidentiality of sensitive information
- Working collectively with administrative support staff to provide coverage of cross functional support of answering phones, maintaining calendars, and booking travel
- Assist and support CTO's direct reports when necessary or needed
Qualifications and Requirements:
- A minimum of five (5) years' experience in media/ music industry experience preferred
- A minimum of two (2) years’ experience coordinating travel arrangements both domestic and international
- Experience interacting with senior level management
- Experience managing multiple calendars
- Experience in preparing and submitting expense reports
- Exceptional written and verbal communication skills
- Ability to prioritize work responsibilities
- Ability to exercise good judgment and maintain the highest level of confidentiality
- Ability to multi-task and handle shifting priorities/ deadlines with grace and a positive attitude
- Ability to work well in a team environment with others
- Reliable and punctual
- Flexible work hours
- High level of proficiency with MS Office (Excel, PowerPoint, Word)
- Ability to work onsite, in the office as required or as policy changes in the future
