What are the responsibilities and job description for the Collections Analyst position at Ascent Global Logistics?
Major Responsibilities
- Contact A/P department of clients who have amounts past agreed terms or short paid invoices
- Ensure client has adequate documentation for payment
- Update client websites with required information
- Review disputed charges and take appropriate action to resolve
- Monitor payment center websites to forecast timing of payment
- Determine cause of non-payment and take appropriate action to resolve
- Assist with cash application to ensure payments are applied appropriately
- Resolve payment discrepancies with client
- Initiate refunds on overpayments or payments sent to us in error
- Work with Settlements and Billing team members to address any issues or improvements related to client-specific processes
- Key Metrics
- Past due A/R
- Days Sales Outstanding (DSO)
- Cash deposit discrepancies resolved within three business days
- Projects / Goals
- Minimize receivables older than 60 days past due
- Establish escalation process for key accounts
- Automate notifications of past due accounts
- Assist in the implementation of improved collection processes
- Other duties as assigned
Education Required
High School diploma or GED required
Experience Required
Requires at least 1 year collections experience or 1 year experience with Ascent Global Logistics.
Knowledge, Skills, & Abilities Required
- Knowledge of shipping documents
- Ability to work independently
- Ability to develop a cadence of daily workflow to ensure all weekly tasks and responsibilities are met
- Basic accounting knowledge
- Ability to read and comprehend simple instructions, short correspondence, and memos
- Ability to write simple correspondence and communicate professionally on the telephone while making collection calls
- Ability to effectively present information in one-on-one and small group situations to clients and other employees of the organization
- Ability to organize clear and concise notes; create and maintain spreadsheets
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
- Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations
- Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
- Basic computer skills including excel and word, 10-key skills. Microsoft Dynamics Great Plains accounting system a plus.
