Role Summary

We're looking for an enthusiastic and experienced CapEx Project Manager to join our dynamic team at Ash. In this role, you'll have the opportunity to lead and manage exciting capital projects while ensuring our physical assets are maintained to the highest standards.


As the Project Manager, CapEx you will play a pivotal role in overseeing many aspects of asset management and will be key in capital project coordination. You will collaborate with a cross-functional team to maintain brand standards, optimize budgets, and drive efficient project execution.


Role Responsibilities


Asset Management

  • Visit all properties on a regular basis to conduct regular inspections of all common area facilities/systems as well as a selection of rooms, reporting results to Sr Management.
  • Establish and conserve a positive working relationship with on-site staff
  • Develop and maintain an action plan ensuring properties are maintained as per company brand standards and best practices
  • Issue field reports and prioritize needs while anticipating future challenges.
  • Manage the ticket system(Visitt) for every property – take action immediately to resolve problems that arise on property.
  • Maintain style guides for each hotel (housekeeping & internal)


Budgets and Spending

  • Assist with the development/creation of the annual CapEx, FF&E replenishment and project/improvement budgets alongside property GM
  • With the knowledge of onsite requests and site visits, develop the scope of upcoming projects, budgets and schedule.
  • Present budgets to stakeholders and follow up to ensure projects are approved and managed at the project level.
  • Produce quarterly reports - for each property relating to:
  • Ongoing expenditures (supplies/replenish etc)
  • New requests – repair/replace (in advance of purchase)
  • Larger projects – rehab/renovations/repositioning
  • Work with on-site staff to prioritize projects as they go through value engineering and scheduling challenges
  • Work closely with the accounting team on all issues related to capital expenditures.
  • Conduct regular updates with hotel accounting to track project related cash needs (short and long term)


CapEx Project Management

  • Identify projects across various areas such as Operations, Housekeeping, Maintenance, Food & Beverage, and Structural improvements.
  • Develop clear project memos or briefs that describe project objectives, estimated costs, and budgets.
  • Hold periodic meetings with other team members as needed to facilitate the flow of information, address project needs, and manage requests effectively.
  • Procure commitments, costs, and options to present to relevant stakeholders.
  • Seek approvals and pursue solutions to achieve project closure, including issuing contracts, invoices, and purchase orders as necessary.
  • Prioritize projects by identifying requests, developing project scopes, estimating timelines and costs, and ensuring alignment with organizational objectives
  • Drive the design process for projects of all sizes, ensuring alignment with project goals and objectives.
  • Act as the primary liaison, fostering effective communication and coordination among designers, contractors, and property managers
  • Collaborate closely with Design Project Managers, General and Operations Managers, Property Management teams, and preferred vendors to facilitate project success.
  • Create & maintain comprehensive documentation and records of all Capital Expenditure (CapEx),development, and project bidding process, construction and schedules.
  • Lead negotiating, obtaining approvals for, vendor selection, and ongoing monitoring of all projects.
  • Conduct regular meetings with contractors and property managers throughout the project lifecycle, from initiation to closeout and turnover.
  • Organize, manage, and track project activities to ensure successful completion and meet project goals.
  • Facilitate project close-out activities, including punch lists, execution of warranties, and handover processes.


Role Requirements Preferred Skills


  • Bachelor's degree
  • Minimum 5 years of project management experience in design and/or construction industries. 7 years preferred.
  • Strong understanding of financial management and capital budget planning.
  • Proficiency in Microsoft Office Suite, Adobe Suite, CAD, and working knowledge of UpKeep, Visitt, Smartsheets, Bluebeam a plus.
  • Knowledge of drawings and construction sequences as well as familiarity with major building systems
  • Ability to undertake frequent travel to properties and job sites, ranging from 25% to 50% of the time.
  • A proactive problem solver who can work independently as well as accept direction from the team
  • Strong attention to detail as well as an appreciation and understanding of the ASH design aesthetic
  • Highly motivated with ability to mindfully multi-task and re-prioritize requests and tasks within a multidisciplinary team environment.
  • Ability to reason and operate independently to solve complex business problems while at the same time knowing when to ask questions
  • Excellent communication and presentation skills
  • Experience in hospitality settings and operations is highly desirable but not required
  • Passion for travel, hotels, and hospitality



Compensation Benefits

The anticipated salary range for this role is $85,000. - $120,000. per year based on experience and local market. This role is also eligible for discretionary performance bonuses.
