Description

DUTIES AND RESPONSIBILITIES:

Execute laboratory responsibilities:

  1. Obtain from pregnant patients specimens, including blood, urine, etc. as ordered by the OBGYN Providers but the blood draw is scheduled outside of the OBGYN clinic hours under the Lab, CPHW’s appointments. These time sensitive labs test, such as 1st/2nd Trimester NIPT/AFPs and 1 or 3 hours glucose tests are ordered and signed offs by the OB providers.
  2. Prepare specimen samples (i.e. NIPT and 2nd trimester AFPs etc.) for pick up by NATERA or by the CA Prenatal Screening Program contracted courier or for drop off to the nearest drop box.
  3. Ensure containment of hazardous waste materials.
  4. Perform prenatal flow measurement (i.e. vitals) if needed during lab appointments (for 1st and 2nd Trimester AFPs).
  5. Retrieve laboratory results from printer or online (i.e. PNS portal), monitor and cross reference with orders, and disseminate labs to MCH Unit Staff and OB providers for review.
  6. Ensure that laboratory results are in patient’s medical record before the OB appointment with the OBGYN Providers and contact laboratory if results are not in the chart.
  7. Monitor and complete OB lab orders in NextGen as needed. The following OB labs are expected to be completed for each OB patients and the orders signed off by OBGYN providers for review:
  1. Initial OB labs including hemogobinopathy evaluations, if needed.
  2. TB skin test and/or QuantiFERON TB Gold if indicated
  3. 1 GTT/3GTT or postpartum 2GTT
  4. 1st/2nd Trimester Screening Tests (NIPT and alpha fetoprotein, serum)
  5. Optional: Free T 4, TSH, TSH w/ rflx Free T4, HBsAg, HBeAB, HBV, DNA Quantitative, or other genetic lab testing such as fragile X.
  1. Perform lab testing for Pediatric patients as scheduled by the Pediatric Health Case Worker (PHCW) such as lead screening or Rotovirus.

 

Perform back office responsibilities (Laboratory):

  1. Perform accurate and timely patient history intake per protocol.
  2. Provide accurate patient and clinical information when completing the cfDNA (NIPT) and 2nd AFP lab forms for specimen pickups.
  3. Monitor the inventory of all OB department supplies/kits and equipment on a weekly basis. Ensure supplies are ready and available all the time. Make timely ordering when supplies/kits are low for NIPT/2nd AFP specimens and inform the Nursing Supervisor(s) if 1 and 3 glucola drinks supply are low.
  4. Discharge patients by providing education, information, and instructions as instructed by CPSP providers and/or clinicians.
  5. Ensure charts and pertinent test results are available prior to clinicians’ direct/telephone interaction with patient.
  6. Scan completed NIPT and 2nd AFP lab forms in NextGen ICS and upload the forms in the OB patients’ electronic health record.
  7. Ensure that the NIPT and/or 2nd Trimesters genetic screening reports are uploaded in NextGen for each OB patients and contact the California Genetic Screening Program via telephone call if reports are not available.
  8. Participate and lead the huddle with CPHWs and OB Mas on a daily basis to ensure that everyone is informed and focus on the OB patients’ clinical needs. The daily huddle is customized for OB to make patient care more efficient and productive.
  9. Ensure cycle time and productivity performance expectations are met.

 

Perform back office responsibilities (Referrals):

  1. Submit the referral orders of the OBGYN Providers and also the PCPs (for OB Care ONLY) on a timely manner.
  2. Enter all assigned prenatal patients on the prenatal logs in the MCH Unit page in The HUB.
  3. Ensure that referral orders are completed and documented in the patients’ electronic health records in NextGen.
  4. Assist in scanning clinical documents in NextGen EHR.
  5. Run reports to conduct recall, i.e. Referral Order Management, Lab Reconciliation, Rosetta Holding Tanks and any other reports needed.

Promote effective and efficient patient care

  1. Assist other clinic staff in providing good efficient patient care.
  2. Maintain proper and accurate documentations and logs
  3. Assist in providing translation and interpretation services as needed
  4. Facilitate patient flow by working effectively and efficiently.
  5. Maintain open communication with other clinic staff.
  6. Maintain professional demeanor at all times with patients, caregivers, clinicians, and staff.
  7. Participate in data collection and entry as assigned
  8. Provide administrative assistance to Clinicians
  9. Assist in reporting of communicable disease
  10. Perform other duties as assigned

 

Professional Development/Others

  1. Attend APHCV staff meeting, clinic staff meeting, department meetings, and other meetings as assigned by supervisor
  2. Attend trainings as assigned by supervisor
  3. Communicate training needs to supervisor
  4. Participate in agency wide events as mandated by APHCV’s policy

 

Specialty Departments Expectations:

OB/GYN:

  1. Familiarity with correct preparation of equipment/instruments and assist provider on specific procedures i.e. Colposcopy, Endometrial Biopsy, Insertion of Intrauterine Device, Implants, etc.
  2. Follow standard procedure in instruments preparation for autoclave sterilization.
  3. Follow standard procedure in checking monthly Spores Test on the Autoclave.
  4. Ensure that all OB/GYN charts are ready a day before the appointment; all pertinent test results and other necessary documents are in patients charts.
  5. Monitor and inventory all OB/GYN department supplies and equipment on a weekly basis. Ensure supplies are ready and available all the time.
  6. Knowledge of all specific laboratory routine orders of all gestational stages of obstetric, postpartum and gynecology patients.
  7. Good interdepartmental communication skills (with providers, CPHWs, and other OBGYN Health team members)
  8. Ensure that patient receives accurate language appropriate education, information, and instruction as ordered by clinician through the aid of language interpreter or SSL.
  9. Review and pass (80%) of OB/GYN knowledge competency of Women’s Health Cluster.

PEDIATRICS:

  1. Perform provider’s order for medications and immunizations by following standard procedure with proper verification/co-sign with a licensed staff (LVN, RN, NP, PA, and MD).
  2. Document all immunizations administration per CAIR system and protocols.
  3. Assist immunization nurse to ensure that immunization follow-up mailings are sent in a timely manner and with proper documentation in patient’s chart.
  4. Perform all required procedures and documentations (i.e. audio screening, visual screening, and growth and development measurements) on all peds patients and ensure that all the standard assessment forms are available in the charts.
  5. Assist the provider in completing all referral forms (i.e. on demographics) before giving to the parent/patient.
  6. Ensure that patient or parents/legal guardian receives language appropriate education, information, and instructions as ordered by clinician with the assistance of interpreter.
  7. Monitor all Pediatrics related supplies/equipment and ensure that they are ordered on a timely basis. Ensure that there are adequate supplies of educational Materials/brochures and children’s book in all exam rooms.
  8. Good interdepartmental communication skills (with providers, SSLs, outreach workers and parents).
  9. Mandatory for MA Trainings/competencies (Need to pass):
    1. CAIR
    2. Watch “IZ Administration techniques” video and pass IZ administration test (80%)
    3. All EZIZ modules
    4. “You call the shots” web-based training
  10. Ongoing annual competencies:
    1. Attend one vaccine outside agency in-service annually
    2. Watch “IZ Administration techniques” video and pass IZ administration test (80%)

Qualifications


QUALIFICATIONS:   

Experience

  • Required
    • Graduate of an accredited Medical Assistant program & BCLS certified
    • High school diploma and GED or minimum of one year experience working in a primary care setting
  • Preferred
    • Regular predictable and timely attendance during clinic hours
    • Ability to work efficiently and accurately with minimum supervision
    • Able to communicate in English and preferably at least one of the following languages:  Thai, Khmer, Tagalog, Bengali or Spanish.
    • Proficiency in Microsoft Office Outlook, Word and Excel  applications

 

Skills

  • Required
    • Knowledge of all specific laboratory routine orders of all gestational stages of obstetrics, postpartum and gynecology patients.
    • Knowledge of all specific laboratory routine orders of all pediatric stages from newborn to 5 years old.
