Job Summary: Perform a variety of accounting tasks, maintain files, balance accounts and assist the Controller in other miscellaneous tasks. Prepare and assist in the accurate and timely processing of company Accounts Payable. Perform a variety of complex clerical and entry-level bookkeeping and accounting tasks, applying Generally Accepted Accounting Principles (GAAP) to all accounting duties. Assist Controller with preparation of other misc. accounting tasks.
Essential Job Functions:
- Maintain Daily Cash Report
- Maintain all monthly/quarterly corporate filings, licenses, and all other compliance issues, documentation, and processing of applications (i.e. sales & use tax)
- Prepare all required state Sales and Use Taxes returns
- Prepare monthly mileage tax reports, heavy vehicle use tax, and any other vehicle tax reports in cooperation with the shop manager
- Work with the shop foreman to process monthly vehicle/equipment usage to journalize to jobs
- Maintain accounts payable data in an accurate and timely manner
- Review backup and checks for accuracy prior to final approval and payment
- Reconcile vendor statements contacting vendor of any items not in our payables system
- Prepare and process monthly cell phone usage job cost reports
- Various job cost transfers including monthly postings of fuel use and cell phone usage
- Prepare out-of-state resale certificates and vendor credit applications
- Maintain vendor W-9 database and prepare annual 1099 filing
- Print and process checks as selected by Manager
- Process Visa charges in coordination with project managers
Other Responsibilities:
- Accounts Receivable (AR) as requested
- While it is impossible to list every duty that may be asked of an employee, the Employer may ask that an employee do other duties as the business need arises
- Help staff with excel, query, and Viewpoint downloads
- Maintain confidential information regarding the company and/or its personnel
Required Knowledge, Skills, and Abilities (KSA): (Education and Experience)
- High School Diploma or equivalent
- Post-high school education/training in accounting and/or finance
- 3 years experience performing similar functions in a position of responsibility
- Excellent math and problem solving skills
- Proficient on computers, accounting software, a10-key, Windows operating system and Excel software.
- Ability to learn new software quickly
- Organized, attentive to detail, team player, good time management
Preferred (KSA) Qualifications:
- Associates Degree (or higher) Accounting
- Proficient in Viewpoint Accounting
Other Requirements:
- Valid Oregon Drivers license and reliable transportation
