As a Scheduling Coordinator, you will be crucial in developing and maintaining a systematic, high-volume scheduling process for our agency and its subsidiaries. Responsibilities
- Develop and maintain a high-volume scheduling process, ensuring seamless communication with customers, clients, and coworkers.
- Collaborate with the Care Team to match clients with appropriate caregivers.
- Provide direct support to the Case Manager, ensuring accurate and up-to-date client schedules.
- Verify daily schedules to facilitate error-free billing and payroll processing.
- Communicate schedule changes to clients’ primary contacts.
- Serve as the primary point of contact for caretakers, clients, and nursing staff.
- Maintain an up-to-date record of team members' availability and provide coverage for leaves of absence.
- Gather and update necessary HR documents, such as car insurance and driver's and professional licenses, and track required caregiver training.
- Recognize and provide positive feedback to caregivers for their accomplishments and outstanding performance.
- Participate in on-call rotations for weekends and nights.
Qualifications
- Experience: Minimum of 3 years in a fast-paced office environment, with at least 3 years managing schedules for 15 clients using an EMR, and 2 years as the first point of contact for main office calls.
- Skills: Confidentiality (HIPAA compliance), flexibility/adaptability, attention to detail, excellent communication (English), collaboration, accountability, negotiation, positive attitude, high standards, and professionalism.
- Technical Skills: Proficiency in company software (Taskworld, AxisCare, Google Suites) and Microsoft Office (Word, Excel, PowerPoint).
