Position Overview
The Event Coordinator / Booking Agent will play a critical role in researching, organizing, and overseeing all aspects of Astro Vinyl Art’s event participation. You’ll work closely with management, production, and sales teams to ensure smooth logistics, maximize sales opportunities, and create exceptional experiences for customers.
Key Responsibilities
Event Research & Planning
- Research and identify potential events for Astro Vinyl Art to attend and present findings to management for approval
- Complete and submit event applications through online, phone, and mail channels, ensuring deadlines are met
Logistics Management
- Maintain up-to-date event information and deadlines using the company’s logistics app
- Collaborate with the software development team to recommend improvements and report issues related to the logistics app
- Process application fees and handle accounts payable for event participation
Event Coordination & Staff Scheduling
- Coordinate and schedule staff for event vending, ensuring proper coverage and clear roles
- Oversee all event logistics, including team assignments, insurance, transportation, departure and arrival times, and setup/teardown coordination
- Book accommodations for out-of-town, multi-day events
Sales & Strategy
- Analyze sales data and event statistics to determine optimal booth size and location for maximum exposure and revenue
Administrative Support & Customer Service
- Complete miscellaneous research projects and office tasks as assigned
- Respond to customer inquiries and create orders through Shopify
Social Media Collaboration
- Work with the social media team to generate content ideas and coordinate event-related posts
Qualifications
- Strong organizational and time-management skills
- Excellent communication and interpersonal abilities
- Proficiency with software tools (Google Workspace, Shopify, logistics apps)
- Ability to work independently and collaboratively across departments
- Prior event planning or coordination experience is preferred
Job Types: Full-time, Part-time
Pay: $14.00 - $16.00 per hour
