Description
Atlantic Lift Systems, a local, family-owned, rapidly expanding rental equipment company, is seeking a skilled Service Coordinator/Dispatcher. We are searching for qualified and ambitious individuals to provide stellar customer service in a safe and professional manner with some degree of independent judgment.
Responsibilities will include:
- Answer all incoming service calls in a polite and inviting way
- Obtain all Customer information and requests
- Dispatch Technicians in an orderly way based on location and skill level, using the Computer Dispatch System
- Assign priority level of the client (i.e., emergency)
- Track call response times (between 2-4 hours)
- Track all Customer calls and Road calls, following up on diagnostic calls/quotes and unit breakdowns
- Assign work orders to each Technician as needed
- Ensure all Road Techs complete Work Orders by end of day
- Enter Technician write-ups into computer system. If incomplete get with technician to add additional information
- Verify all parts listed on WO hardcopy are listed in system and match invoice
- Verify that work order is coded correctly, client information is correct, get PO number if required
- Verify time coincides with the work that was completed
- Verify if job was quoted. If quoted, adjust price to quoted price. If not quoted bill as is. Note what job estimate includes and doesn’t include if costs exceed quote.
- Ensure notification from Road Techs upon completion of all jobs
- Review WIP report and work with Service Manager and Technicians to get work orders billed in a timely fashion (20 days or less).
- Track status of service calls through Computer Dispatch System.
- Enter invoices into customer invoicing websites
- Ensure the completeness and accuracy of all paperwork

Requirements
Qualifications include:
- Basic reading, writing, and arithmetic skills required. This is normally acquired through a high school diploma or equivalent.
- Maintain, understand and present concise reporting on service department metrics.
- Understand, analyze and speak to other employees regarding status of repairs and current orders.
- Strong computer skills are a must, knowledge of Microsoft Office is mandatory, especially Excel.
