What are the responsibilities and job description for the Facility Service Manager position at Audubon Institute?

 Reporting directly to the Director of Operations, the Facility Services Manager is responsible for planning, scheduling and coordinating the upkeep of all interior property cleanliness for.  They are responsible for management of the Facility Services Department as their staff.  They will be responsible for supervising the overall janitorial and housekeeping care of the Audubon Zoo, Audubon Park and Riverview area. This position requires supervising a minimum of ten or more employees, having previous experience in recruitment and maintaining the inventory and bookkeeping system for the departments as well as detailed maintenance of multi surface floors and walls experience. 

 

To deliver on the Audubon mission, the Facility Services Manager will: 

 

Provide a guest experience of outstanding quality.

  • Directly supervises in-house cleaning projects, carpet maintenance, floor care and daily general upkeep of the uptown Audubon facilities.
  • Supervises and coordinates staff in project planning and execution. 
  • Schedule and coordinate evening project team to meet camera ready standards for all uptown facilities. 
  • Administers and tracks budget and goal performance while controlling material overhead.
  • Inspects all equipment for safe and dependable operation, scheduling repairs when needed and submits reports as needed to the Director of Operations
  • Plan work of self and departments on a weekly basis, incorporating schedule review, project work list and other factors as needed.
  • Conduct monthly departmental meetings and generate meeting notes to the staff and Director of Operations.  Conduct one on one meetings with the supervisors and line staff at minimum on a quarterly basis.  Complete annual employee performance reports.
  • Prepare purchase orders, check requisitions and use his/her P-Card as designated by A.N.I. policy to purchase needed material and products, using resources of the Purchasing Department when needed.
  • Develop and administer department’s annual goals.
  • Maintains own time records and schedule the work of those staff supervised and authorizes their time sheets.
  • Recruits and interviews applicants
  • Conducting monthly meetings with the Director of Operations to review departmental goals and objectives, as well as and including, project updates.
  • This position is designated essential personnel.   Some essential personnel are mandated to stay at the facility during a natural disaster or emergency situation or must immediately respond as the recovery team immediately following the storm.

 

  

Weave quality entertainment through the guest experience.

  • Develops staff through training and coaching to improve overall department performance.
  • Train, follows up and enforces safety standards in all staff use of equipment, products and PPE and maintains written documentation of all in-service training and submits copies to the Director of Operations.
  • Maintains inventory of products needed for operation.
  • Submits Material Safety Data sheets on all products used in the building and park areas.
  • Reviews with staff and maintains familiarity with A.N.I. policy and procedure manual.
  • Submit to the Director of Operations a weekly time schedule.
  • The physical demands of the job requires and employee, with or without accommodations, to meet the following physical requirements:  standing and/or walking 75% of the time; must be able to lift up to 75 pounds.
  • Maintain Office and ensure storage areas and facility services’ closets are clean, well-organized and in a safe condition.
  • Any and all other reasonable tasks required by Director of Operations.
  • Safely discard of hazmat materials through a qualified disposal company.
  • Able to read and understand material safety data sheets.

  • Ability to organize and effectively prioritize a variety of tasks.
  • Ability to work overtime if/when needed

 

Operate a financially self-sufficient collection of museums and parks.

  • An ability to interpret a variety of instructions furnished and written, oral, diagram or schedule form.
  • Ability to further education in compliance with state and/or federal laws governing A.N.I.s compliance with position
  • Ability to manage the department’s budget with the guidance of the Director of Operations.
  • Build and maintain a rapport with outside vendors.

Supervision:  Manages the Facility Services Department 

Experience:  

 

  • 5 years or more experience in supervising ,delegating and proper communicating with a staff of 15 or more.
  • 5 years or more experience managing staff at multiple facilities. 
  • 5 years or more in the facility services field with a strong working knowledge of janitorial machinery and equipment, detailed cleaning and maintenance of most facility surfaces, i.e. floors, walls, carpeting, counter tops. 
  • 5 years or more experience with janitorial chemicals with a strong working knowledge of their usage and the PPE, SDS measures called out to handle them safely and successfully. 
  • 5 years or more knowledge in basic computer use such email and work order systems.

 

Education: 

  1. High school diploma or equivalent preferred

Licensure/Certification: Valid Driver’s License Required 

Required to complete GSA background certification upon completion of 3 month satisfactory probationary period.

 

Software Requirements:  basic knowledge in Microsoft Word, Excel, Outlook or Outlook Express with initiative to develop computer skills in any other software applications deemed necessary with improving performance.

Machinery/Tools/Equipment Requirements:  Must have the ability to use mobile devices, computer, fax, scanner, phone and copy machine.  Must have the ability to use, and train others to use trade related   equipment such as;  shampooers, bonnet buffers, vacuum cleaners, high lifts and forklifts.

Physical Requirements:

  1. Sedentary Work:  exerting up to 75 pounds of force occasionally, or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects, including the human body.  May involve sitting most of the time, but may involve walking or standing for brief periods of time.
  2. Sitting or standing, bending, stooping, and the ability to carry items weighing up to 45 pounds.
  3. Constant adequate range of motion and mobility required.
  4. Regular near acuity with clarity of vision at 20 inches or less required. 
  5. Typical ability to collect and analyze numerical and written data and verbal information to reach logical conclusions and ability to determine the time, place and sequence of operations or actions required.
  6. Regular talking and the ability to express and exchange ideas by means of language expected.
  7. Regular hearing and the ability to perceive the nature of sounds.
  8. Constant ability to read, record, or type data quickly and accurately required.

Environmental/Working Conditions:

  1. Exposure to chemicals used for regular cleaning of facility.  
  2. Working long hours between breaks or meals required.
  3. Ability to work with various cleaning products.
  4. Ability to work under and handle stress in an appropriate manner required.
  5. May be exposed to high, medium, or low noise intensity.
  6. Constant contact with co-workers required.
  7. Affinity for animals preferred.
  8. Exposure to fluctuations in temperatures may be required.
  9. Exposure to outdoor conditions may be required.
