Title: Administrative Coordinator
Purpose of Position:To perform a variety of administrative, data and support functions
for the successful functioning of the school campus
Employment Status:Full-time Reporting
Reports to:Principal
Location:Assigned Campus
Support the efficient and welcoming operation of the main school office:
·Perform a variety of clerical activities, including preparing routine correspondence, sorting and filing of records, documents, mail and other material.
· Assist in the health office as needed; provide basic first aid to ill or injured students, and make appropriate notifications to parents or guardians.
· Answer phones, greet and direct visitors, take and relay messages; provide routine information to students, parents or guardians.
· Operate a variety of contemporary office equipment.
· Assist with scheduling substitute teachers as needed
· Inventory, order and distribute office and classroom supplies as needed.
· Assist in supervising students sent to the office for disciplinary or other reasons.
· Assist parents or guardians with free & reduced lunch applications. Use a computer and proprietary or mass market software programs like MS Office to enter, retrieve or archive information.
· Display professionalism and a respect for diversity in all interactions.
· Maintain punctual and consistent attendance.
· Perform related duties as assigned.
Support school based operations including finance, admissions, facilities and external vendors:
·Processes school level invoices and check requests, verifying that funds are available by tracking student activities account balances
· Processes school level purchase requests following designated procedures
·Prepares necessary reports as requested
·Handles all student activity fund disbursements
·Receives, records, deposits and accounts for all student activity funds collected
·Receipts all incoming monies for campus
·Assist in the admissions process, including answering parent questions, providing assistance with applications, entering applications into database, creating reports, mail merges and correspondence to send out to parents, assist in planning and execution of Open House, Curriculum Meetings and testing.
·Required to work a few Saturdays and Evenings for Curriculum Meetings and Testing dates
·Assist in maintaining reports on Preventative Maintenance, Help Desk issues and facilities issues at both campuses using the School Dude software program.
·Handles other duties as assigned
Maintain and report accurate, updated student data:
· Maintains accurate student attendance for the purpose of providing accurate information for District and State reporting.
· Maintains student data base for the purpose of documenting student enrollment.
· Enrolls and transfers students for the purpose of maintaining student records.
· Processes records requests and assists in issuing report cards as needed
· Screens student emergency cards for the purpose of identifying and notifying staff of students' special health problems.
· Maintains various records, schedules, files, rosters, etc. for the purpose of documenting and/or providing reliable information.
· Monitors information, (e.g. student enrollment data, class size, attendance, etc.) for the purpose of documenting activities for adherence to policies and procedures.
· Processes documents and materials (e.g. student transfers, cumulative records, schedules, reports, etc.) for the purpose of disseminating information to appropriate parties.
·Assists with the necessary preparation for Charter Board Meeting, Parent Meetings, Professional Development, State and Local monitoring/audits and other functions designated by the Administration
Working Conditions & Physical Demands:
Inside work with no exposure to weather conditions. Hearing and speaking to exchange information in person or on the telephone; seeing to read a variety of documents; dexterity of hands and fingers to operate office equipment; sitting for extended periods of time; bending, kneeling or stooping, reaching overhead to store or retrieve materials, and walking.
Knowledge, Skills and Abilities:
·Contemporary office practices, preferably in a school setting. Record keeping, filing, electronic document filing and retrieval.
·Proficiency in Microsoft Office, especially Word Excel and Outlook. Ability to utilize Excel to generate reports, mail merges (letters and labels), create Power Point Presentations and fliers.
· Operate a computer and a variety of contemporary office equipment. Develop and maintain productive working relationships with school site staff, parents or guardians and District staff.
· Telephone and e-mail etiquette.
· Correct English usage, grammar, spelling, punctuation and business vocabulary.
· Add, subtract, multiple and divide quickly and accurately. Understand and follow verbal and written directions.
· Meet schedules and timelines. Work collaboratively with others.
· Able to display professionalism and cultural competence in interactions with others.
Education, Training and Experience:
Any combination equivalent to graduation from high school and two (2) years of increasingly responsible clerical or secretarial experience, preferably in a K-12 public school or public sector environment; Knowledge of PowerSchool or other Student Data Systems

Pay: $41,563.00 - $48,435.00 per year
