We are currently seeking to hire a bilingual Office Manager/Administrator Assistant (spanish speaking). Duties include but are not limited to:
Job Description
- Process clients: updating client list, creating and maintaining client and staff records, creating parent memos, assure clients sign in and record details.
- Help maintain a good office environment- customer service, answer phones, take messages, return calls, filing, maintain and organize records, fax, type, scan, and keep all patient records and other entries up to date.
- Collect mail, monitor emails, monitor and order office supplies as it is needed
- Collaborate with clinicians to collect and organize needed data and documents, obtain signatures, and coordinate weekly, monthly and quarterly paperwork
- Collaborate with administrators to collect, organize, and obtain billing documents
- Collaborate with clients and administrators to manage collections and billing invoices
- Must work well under pressure as at times it may be fast pace and busy
- Must have knowledge of Microsoft Word and Excel and use the internet.
- Perform needed housekeeping, cleaning duties and any other support activities deemed necessary by the supervisor.
- You MUST be punctual, dependable, detail-oriented, professional and efficient in completing tasks and meeting deadlines.
- Protect clients’ rights and privacy according to HIPAA regulations
- Overall duties include providing support in a way necessary to help make the business run smoothly. Need to be quick on the feet to be able to pick up any required work.
Requirements:
- Experience performing administrative tasks such as answering phones, scheduling appointments and maintaining records in a medical or healthcare facility
- Fluency in Spanish is required
- Strong communication and problem-solving skills
- An ability to multi-task in a fast-paced environment
- Meticulous attention to detail
