Job Summary
We are seeking a detail-oriented and organized individual to join our team. The ideal candidate will have hands-on experience with QuickBooks accounting software, a solid understanding of office procedures, and familiarity with the unique environment of an automotive body shop. Responsibilities include managing invoicing, handling customer inquiries, maintaining accurate records, and supporting day-to-day administrative tasks. Strong communication skills, adaptability, and a proactive approach are essential. Responsibilities

  • Greet visitors and manage front desk operations with professionalism and courtesy.
  • Answer and direct incoming calls using a multi-line phone system, ensuring excellent phone etiquette.
  • Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
  • Assist with filing, organizing documents, and maintaining an orderly office environment.
  • Support calendar management for scheduling appointments and meetings.
  • Handle customer inquiries and provide exceptional customer support to enhance client satisfaction.
  • Utilize Microsoft Office.
  • Assist with bookkeeping tasks as needed, including basic accounting functions using QuickBooks.
  • Collaborate with team members to improve office processes and efficiency.

Skills

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Strong organizational skills with the ability to manage multiple tasks effectively.
  • Bilingual capabilities are a plus
  • Previous experience in office management or administrative roles is preferred.
  • Familiarity with clerical duties such as filing, data entry, and document management.
  • Strong customer service skills with a focus on client satisfaction.
  • Ability to work independently as well as collaboratively within a team environment.
  • Time management skills to prioritize tasks effectively in a busy office setting.
