B Social Events is an intimate event venue located in the waterfront area of Port Chester, NY. We host intimate weddings, milestone celebrations, corporate gatherings, and curated community events. We’re seeking a dependable, highly organized, and people-focused Part-Time Venue Assistant to support the owner with client communications, digital presence, light marketing efforts, and on-site venue operations. This role plays an important part in how B Social runs day to day support of the venue and in the experience our clients have from their first inquiry through event day.
This position is ideal for someone who enjoys variety, takes initiative, and brings both a detail-oriented and creative mindset. The right person will have a strong work ethic, a warm and professional communication style, and feel comfortable building relationships with clients, planners, and vendors in a fast-paced, design-forward event environment.
Key Responsibilities:
Client Communication & Bookings Support
- Respond to and follow up with event inquiries and booking leads via email, phone, and social platforms
- Support clients throughout the booking and planning process, keeping them informed, organized, and confident
- Assist with contracts, documents, calendars, and internal tracking
- Communicate with vendors to collect required information and support event coordination
Marketing & Outreach Support
- Assist with email communications and light marketing initiatives
- Create flyers, digital content, and promotional materials using Canva
- Maintain and update venue profiles on platforms such as Zola and Eventective
- Support outreach efforts and help build relationships with local vendors, businesses, and community partners
- Collaborate on ideas for venue events, partnerships, and community visibility
Event & Venue Operations
- Assist with event preparation including layouts, timelines, and internal checklists
- Support on-site operations including setup and breakdown of tables, chairs, linens, and light decor
- Serve as a point of contact during events to assist clients, vendors, and guests
- Help maintain cleanliness, organization, and overall venue presentation
- Support post-event wrap-up and report any issues
Experience & Qualifications:
- 1–3 years of experience in events, hospitality, customer service, marketing support, or administrative roles
- Prior experience in a client-facing environment such as a venue, catering company, hotel, restaurant, event planning business, studio, or small business
- Experience supporting event logistics, coordinating details, or assisting with events is strongly preferred
- Comfortable with professional email and client communication
- Proficiency in Canva and familiarity with email marketing platforms and website or social platforms (Wix experience a plus)
- Basic knowledge of CRM or client management systems preferred (HoneyBook or Dubsado a plus)
- Strong organizational skills with the ability to manage multiple tasks and shifting priorities
- Interest in the events and hospitality industry with a desire to grow
- Physically able to assist with light setup and breakdown
- Must be able to commit to a minimum of four events per month
This role works directly with the owner and supports the overall operations of the venue.
