POSITION PURPOSE AND SUMMARY

The Medical Assistant is part of a multi-disciplinary team working together to establish and carry out a case plan for each client and performs routine administrative and clinical tasks to keep the health clinic running smoothly. This role is responsible for back office and front office duties. The MA maintains a clean, organized, and safe environment, and performs patient care services that support the physician/ provider's practice under the clinical supervision of the Physician and Nurse Practitioner. The MA is the first point of customer contact and is responsible for coordinating all patient requests for referrals and authorizations. The Medical Assistant will function within the scope of practice as described by the State of California Board.

The Medical Assistant Back Office duties include providing a friendly, compassionate, and efficient environment for patients and providers to ensure the highest level of productivity. The Medical Assistant will perform a variety of duties related to patients’ assessment, treatment, reevaluation, and discharge. This position will take patient vitals, chart procedures and provider orders and assist in managing patient flow. This position may require night and weekend shifts as needed.

This position may have access to third party credit card information and transactional systems (cash registers, point of sale devices, applications supporting credit card transactions, and reports or other documents containing credit card information) from single transactions or a single card at a time.

ESSENTIAL DUTIES, FUNCTIONS & RESPONSIBILITIES

  • Meet with patients to take history, measure vital signs (i.e., pulse rate, temperature, blood pressure, weight, and height), and records information in patients' charts.
  • Assisting in prepping patients for examinations or procedures, assisting with procedures, relaying instructions from the physician to a patient or authorized person, and collecting patient data.
  • Documenting patient concerns, patient messages, and care provided to the patient in the patient’s medical record for the physician's review.
  • Administrating medications specifically directed by the physician and performing accurate vital sign measurements and documentation.
  • Ensures physician or nurse has needed supplies, instruments, and equipment.
  • Sterilizes/cleans equipment.
  • Prepares/sets-up treatment rooms.
  • Ensures treatment rooms are maintained in a clean and orderly manner.
  • Assists physicians and nurses in providing treatment.
  • Scheduled appointments and log in patients.
  • Record and file information on patients and medical records.
  • Answer phone calls, order supplies, send out letter, and complete insurance forms.
  • Bill and code patients and programs as appropriate to the services received.
  • Communicate regularly or as necessary, both verbally and in writing, with team members and other departments regarding client treatment and care to ensure accuracy and expedite patient services.
  • Adhere to agency policies and procedures and advances the goals of BAIHP in a manner that embodies the clinic’s philosophy.
  • Maintain strict confidentiality of client and personnel information.
  • Keep providers well informed regarding activities, pending issues and potential problems.
  • Perform administrative duties of the front office.
  • Answer phones, filing, and assisting with patient check-in.
  • Collection of fees, preparation, and documentation of banking transactions.
  • Verifying insurance eligibility.
  • Assist counselors and medical staff with the scheduling of patients for their appointments.
  • Perform COVID testing as needed.
  • Assist patients as needed with health questionnaires.
  • Escort patients to examination rooms.
  • May be required to draw and collect blood samples from patients and prepare specimens for laboratory analysis.
  • Apply principles of aseptic technique and infection control as directed by Infection Control Policies.
  • Performs other duties as assigned.

MINIMUM MANDATORY QUALIFICATIONS

Experience:

  • Two (2) years Medical Assistant experience required.
  • One (1) year experience working in an integrated healthcare setting preferred.
  • Knowledge pertaining to AAAHC or CARF standards for accreditation and patient care preferred.
  • Knowledge of medical billing and charge entry procedures, medical terminology and basic lab test procedures preferred
  • Knowledge of Electronic Health Record preferred.

Education:

  • Requires High School diploma/GED.
  • Graduate from an accredited Medical Assistant Program.

License/Certifications:

  • Valid California driver’s license and DMV report with fewer than two (2) infraction points within a 12-month period and automobile insurance.
  • Current BLS certification.
  • Current California Certified Medical Assistance certificate preferred.
  • Zero Major Moving Violations in the past 4 years.

Patient Care and Customer Service:

  • Maintain strict confidentiality of client and personal information, adhering to HIPAA, professional codes of conduct, State of CA regulations, and BAIHP policies and procedures.

Communication Skills:

  • Demonstrable ability to communicate effectively and professionally both verbally and in writing.
  • Must have effective communication skills, be able to effectively communicate with diverse populations, and be willing to convey responsibilities to patients.

Language Skills:

  • Ability to speak and write English fluently

Interpersonal Skills:

  • Communicate and deal effectively with people in a professional and courteous manner

Technology Skills:

  • Computer proficiency required including ability to work with email, electronic health record, Microsoft Excel, Microsoft Word, Microsoft PowerPoint, Microsoft Publisher, and Windows Software.
  • Ability to work on a computer, calculator, photocopy machine and fax machine.
  • Demonstrates the ability to type 45 words per minute.

Other Skills:

  • Must possess or be able to obtain specific regulatory knowledge as it pertains to Indian health from entities such as IHS, CRIHB, IHP, and the State of California.
  • Must demonstrate the ability to maintain accurate records and preparing clear and accurate reports for informational, auditing, and operational use, including capacities for attention to detail and for reviewing and verifying accuracy of data.
  • Possess the ability to perform well in group problem-solving situations and use reason even when dealing with highly emotional topics.
  • Available and willing to travel as needed.
  • Available to work evening and weekend hours as needed.
  • Willingness to learn new skills and participate in training sessions relevant to the position.

POSITION QUALIFICATION PREFERENCES

  • Knowledge of Health Care Improvement Act (Public Law 94-437), Title V.
  • Experience working with the American Indian/ Alaska Native community.
  • Experience working with IHS, BIA, CCUIH, NCUIH, and other tribal organizations.

Pay: $18.00 - $24.00 per hour
