Position Summary:
This position manages conferences, social events and weddings varying in size. Responsible for the successful outcome of assigned events and programs from pre-arrival through post-departure. Prepares all event documentation, coordinating with Sales, Resort departments and clients to ensure consistent, high level service throughout pre-event, event and post-event phases. Recognizes opportunities to maximize revenue by up-selling and offering enhancements to create outstanding events.
Duties & Responsibilities:
All duties are to be performed in accordance with departmental and Balboa Bay Resort policies, practices and procedures.
- Ensure seamless event execution by following established procedures and ensuring accuracy in detailing and preparation of banquet event orders.
- Develop creative solutions for client event requests from concept to completion, integrating current trends in event management and design.
- Identify opportunities to cross-sell and up-sell services to optimize total revenue potential and guest experience.
- Ability to prepare creative and innovative menus while working with the Banquet Chef.
- Manage group room blocks and programs ensuring that all contractual obligations to the Resort and Client are met.
- Identify operational challenges associated with event and resolve with the Resort staff and client or develop alternative solutions.
- Ability to effectively present information and respond to questions from clients, vendors and staff.
- Greet client during the event and introduce to the Banquet Captain for the execution of the event.
- Monitor expenses during an event to ensure meeting the budget requirements of the client, scheduled deposits are received, and accuracy of the final billing.
- Maintain regular attendance.
- Perform other job-related duties as requested.
Qualifications
Required Qualifications:
- High School diploma or general education degree (GED), or equivalent combination of education and experience.
- At least 2 years of experience in event management or related professional area.
- Knowledge of food and beverage products, proper preparation and presentation of food and beverage items.
- Knowledge of meeting room setups and procedures.
- Excellent customer service skills.
- Interpersonal skills to effectively communicate with all business contacts.
- Professional appearance and demeanor.
- Work varied shifts, including nights, weekends and holidays when clients are in house.
- Proficient knowledge of computers, Microsoft Excel, Word and Outlook.
- Ability to learn computer systems used at the Resort.
- Ability to effectively communicate in English, in both oral and written forms.
Preferred Qualifications:
- Bachelor’s degree in Hospitality Management.
- Experience with managing large groups, weddings and social events in a hotel or resort.
- Previous experience working in a similar setting.
- Proficient in Delphi, Opera, Amadeus Hospitality Diagramming.
- Industry certification (ex. CMP, CSEP, DMCP).
- Knowledge of current Audio/Visual equipment and setups.
Special Skills & Abilities / Mental and Physical Demands:
There are physical demands that may vary from day to day or task to task including, but not limited to: the ability to sit at a desk for up to 8-hours per day; walking; standing; bending; stooping; squatting; stretching; grasping; lifting; pushing and operating equipment relative to the assigned tasks. Must be able to lift up to 20 lbs. on a regular and continuing basis and must be able to lift up to 50 lbs. occasionally. In addition to performance of the essential functions, this position may be required to perform a combination of the following other duties:
- Oversee and assist in the physical movement of hotel or customer equipment or furnishings as necessary to complete a tight turn-around of public function space.
- Assist clients with the set-up of their event, as needed.

Salary : $65,000 - $70,000
