Description
Role: The Administrative Assistant facilitates the efficient operation of the bank by performing a variety of clerical and administrative tasks.
Essential Duties and Responsibilities:
- Provide exceptional customer care and professionalism when connecting with customers and vendors either by phone or email, as well as welcoming them in the office.
- Answer incoming calls to the front desk from the main line and route them appropriately.
- Help maintain workplace security by monitoring front door cameras and logging all visitors in to the building and issuing, checking, and collecting badges as necessary.
- Process and distribute incoming/outgoing mail and shipments, including picking up mail from the post office.
- Responsible for the receipt, logging and distribution of incoming checks.
- Assist with maintaining the President-COO’s meeting schedule.
- Respond to and resolve administrative inquiries and questions.
- Coordinate and schedule travel, meetings, and appointments for managers and supervisors.
- Manage customer audit requests.
- Provide assistance for special events both internally and externally.
- Schedule meetings and make accommodations as needed.
- Maintain office supplies and coordinate maintenance of office equipment.
- Work with routine vendors to ensure the upkeep of office and building maintenance.
- Maintain filing systems.
- Required to be in compliance and audit requirements are followed with internal policy and/or federal rules and regulations with GLBA/Privacy, Information Security and BSA/AML, and NACHA Operating Rules as it relates to this position
- Other duties as assigned.
Qualifications

Experience
Six months to two years of similar or related experience, including time spent in preparatory positions.
Education/Certifications/Licenses
A high school degree or GED is required.
Interpersonal Skills
Courtesy and tact are essential elements of the job. Works involves personal contact with customers and other inside and outside the organization, generally regarding fairly routine matters for the purposes of giving and obtaining information or instructions. This person must have excellent customer relations skills, proficient communications skills and the ability to work under pressure.
Other Skills
Proficient in Microsoft Office Suite. Excellent organizational skills and attention to detail.
