What are the responsibilities and job description for the Loan Ops Representative position at BankFirst Financial Services?
BASIC PURPOSE: Primary responsibilities include daily maintaining of consumer, commercial, and real estate collateral files and loan documentation in the bank’s central loan vault, as well as assisting with the releasing and continuation of UCC collateral lien filings. Duties include the verification of loan payoffs and the handling of lien releases for mortgages, deeds of trust and other collateral instruments.
Set up loan files upon receipt of collateral and closed loan documentation from branches
Verify loan packets are indexed correctly into Synergy; Remove exceptions for documents that were
indexed incorrectly
Scan documents that were missing when loan was originally submitted into Teslar
Monitor and review loan payoff reports daily and verify the clearing of payoff funds
Pull files to obtain original collateral documentation and/or instruments
Notify lender of loan payoff and obtain lender approval and confirmation for collateral release
Promptly prepare payoff letters and/or lien releases for mortgages, deeds of trusts, UCCS and all other
collateral releases
Prepare official checks for lien release fees and mail lien cancellations to the appropriate county
agencies and/or Secretary of State
Scan releases once they have been recorded at the county level.
Mail original, released collateral documents to customer
Assist with adherence to loan file retention regulatory requirements
Scan incoming insurance and vehicle titles received via mail
Provide back-up document imaging support, including indexing and exception tracking; Other duties as assigned
Assist with loan file transition from acquired banks
EDUCATION, EXPERIENCE, SKILLS
Education: College degree preferred, but not required.
Experience: A minimum of one (1) year loan collateral experience is preferred.
Personal characteristics:
Knowledge of consumer, commercial and real estate loan documents, or equivalent work experience
Knowledge of loan vault file organization principles
Ability to operate bank software programs and standard office equipment and proficient typing skills
Interpersonal skills necessary to professionally interact with customers, lending personnel and third parties
Strong time management and organization skills
Effective communication skills, both written and oral
Ability to maintain a friendly, courteous and professional demeanor throughout the workday
Ability to multi-task and routinely maintain a positive attitude
Previous loan processing experience recommended, but not required
Self-directed with attention to detail
