Key Responsibilities:

Under the President's direction, you will be the central hub of our office, a multifaceted professional responsible for shaping our customer interactions and driving our operational efficiency. From the initial welcoming call to the final mailed invoice, you will be the vital link, ensuring seamless communication, meticulous order processing, and a consistent professional experience for all who interact with our company.

  • Professionally handle incoming calls and routing calls efficiently
  • Handle phone inquiries about our offerings and connect potential customers with our sales team.
  • Processing purchase orders received by phone, fax and email.
  • Prepare customer statements, bills, invoices, and order acknowledgments, route orders for production and shipping.
  • Ensure a welcoming and organized lobby; greet, register, and announce visitors promptly.
  • Receive and sign for mail and ensure its timely delivery to the correct individuals.
  • Perform general typing and data entry duties utilizing standard office software
  • Utilize general office equipment such as computers, copiers, fax machines, calculators, and mailing equipment.
  • Efficiently file job-related documents and prepare customer invoices for timely mailing.
  • Provide support to the sales team with a range of tasks and actively contributing to projects aimed at driving revenue growth

Mandated Qualification Requirements:

  • High school diploma or equivalent, coupled with 3-6 months of experience in customer service and/or office administration.
  • Demonstrated ability to independently organize and prioritize daily tasks, ensuring timely completion of assignments
  • Exceptional communication skills, with the capacity to project a friendly and professional demeanor in all interactions, both on the phone and in person.
  • Proficient in fundamental duties, including telephone management, filing systems, and general typing tasks
  • Solid general computer skills, including familiarity with word processing and data entry software
  • Ability to execute order processing and generate billing invoices by navigating the company’s order processing software program.
  • Strong foundational math skills for calculating figures and amounts
